Department Function: Foundation for Homan Square (FHS) advances community engagement and stakeholder collaborations in the greater North Lawndale and East Garfield Park communities and the Homan Square campus in alignment with IFF’s mission and its strategic plan.

Basic Job Function
This position supports the Executive Director of the Foundation for Homan Square with advanced operational support, including administrative functions, project management, strategic planning and implementation, and external stakeholder engagement. Support for the Executive Director requires the ability to regularly make operational and administrative decisions in a timely manner, using independent judgment with frequent access to complex and confidential information. The Operations Manager is responsible and accountable for the day-to-day operations of the Foundation for Homan Square and Executive Director, providing administrative oversight of the planning, implementation, and evaluation of the market plan consistent with strategic goals and objectives. The Operations Manager provides coordination and administrative support to the Executive Director and regularly interacts with market stakeholders, including the Board of Directors, Community Advisory Council, local market committees, philanthropic partners, government officials, nonprofit leaders, department leads, internal teams, and the broader community.

Requirements
Core Responsibilities:
1. Executive Support
- Provide high-level administrative support to the Executive Director, including managing calendars, scheduling meetings, booking travel, and processing expenses.
- Prepare correspondence, reports, presentations, and meeting materials with discretion and accuracy.
- Record and distribute minutes from board meetings and leadership sessions.
- Liaise with internal and external stakeholders, including funders, partners, and board members.
- Assist with donor communication, fundraising logistics, and grant reporting as needed.
2. Office Management
- Manage day-to-day operations of the Foundation’s administrative office.
- Oversee office supply inventory, equipment, vendor relationships, and service contracts.
- Act as the primary liaison for building-related issues, including maintenance, IT, security, and custodial services.
- Coordinate with property management and building service providers to ensure a safe and functional environment.
- Support HR and administrative processes such as onboarding, timesheets, and documentation.
3. Tenant Relations & Facility Coordination
- Serve as the primary point of contact for building tenants, responding to inquiries, requests, and maintenance issues promptly and professionally.
- Maintain a clear communication system for tenant updates, notices, and service interruptions.
- Facilitate scheduling of shared spaces, meeting rooms, and common area usage.
- Support tenant engagement efforts and maintain positive, service-oriented relationships.
- Monitor tenant needs and coordinate with property and facilities teams for timely resolution.
4. General Operations
- Coordinate logistics for internal events, board meetings, and tenant/community programs.
- Answer general phone and email inquiries, routing messages appropriately.
- Maintain organized files and records in both digital and physical formats.
- Collaborate with program staff to ensure smooth administrative workflows.
- Foster a welcoming, inclusive, and professional office environment.

Position Qualifications:
Education: Bachelor’s degree or equivalent combination of education and/or experience required.
Previous Experience:
- Minimum of three to five years of experience in administration, executive support, project management, or office management role. Demonstrated proofreading and editing skills. Experience with property management or tenant services preferred.
- Ability to manage multiple tasks and prioritize among them independently.
- Ability to understand and manage complex information and projects.
- Strong organizational and communication skills.
- High level of experience in various software programs including Microsoft products, with a strong emphasis on PowerPoint, Excel, Word and the ability to manage integration among various computer programs, including Google Workspace and other digital communication tools.
- Ability to handle confidential information and maintain discretion.

Additional Requirements: Minimal regional travel may be required. Occasional evening and weekend work may be required.
