Role Overview

We are seeking a highly organized and proactive Bilingual Executive Assistant to provide comprehensive support to executives and leadership teams. The ideal candidate is detail-oriented, resourceful, and fluent in English and Spanish, with strong communication skills and the ability to manage sensitive information in a fast-paced remote work environment.

Key Responsibilities

  • Executive Support: Manage calendars, coordinate meetings, and handle email correspondence on behalf of executives.
  • Travel & Scheduling: Organize travel itineraries, book accommodations, and ensure smooth scheduling.
  • Project Coordination: Track executive projects, prepare reports, and manage deadlines.
  • Communication Management: Draft, proofread, and translate correspondence in both English and Spanish.
  • Documentation & Data Management: Maintain organized records, prepare presentations, and manage confidential information.
  • Meeting Preparation: Prepare agendas, take detailed minutes, and follow up on action items.
  • Ad Hoc Support: Assist executives with personal and professional administrative needs as required.

Requirements

  • Experience: At least 2 years as an Executive Assistant, Virtual Assistant, or in a similar support role.
  • Bilingual Proficiency: Strong written and verbal communication skills in English and Spanish.
  • Tech Skills: Proficient in Google Workspace, Microsoft Office Suite, and project management tools (e.g., ClickUp, Asana, Trello).
  • Professionalism: Ability to handle confidential information with discretion and integrity.
  • Organization: Exceptional time management, prioritization, and multitasking abilities.
  • Availability: Must be able to work during US business hours.
  • Work Setup: Reliable internet connection and a quiet, professional workspace.

Preferred Qualifications

  • Experience supporting C-level executives or senior leadership.
  • Familiarity with CRMs such as HubSpot or Salesforce.
  • Strong skills in preparing professional reports and executive presentations.
  • Experience with virtual conferencing tools like Zoom and Google Meet.
