We’re looking for a detail-oriented Advertising Operations Coordinator to support the execution of audio and digital media campaigns. This role is highly process-driven and plays a critical part in making sure campaigns launch correctly, partner information is accurate, and media plans are properly tracked.

You’ll work closely with traffic leads and external media partners, handling contact outreach, script adaptation, campaign setup, and delivery tracking. If you enjoy structured work, spreadsheets, and ensuring nothing slips through the cracks, this role is a great fit.

🛠️ What You’ll Do

  • Collect and organize production and partner contact details from internal systems (ADVendio, spreadsheets) and traffic leads
  • Conduct professional outreach via email and Google Forms to confirm and update media partner contact information
  • Build and maintain a clean, centralized .csv contact database for all media partners
  • Perform semi-annual or annual contact refreshes to ensure data accuracy
  • Adapt approved advertising scripts for different geographic locations and audience segments, maintaining clear version control in spreadsheets
  • Customize scripts based on campaign specs and distribute final versions to the correct media partners
  • Track script distribution and escalate any partner questions or requests to the traffic lead
  • Input and update media plan and campaign data in ADVendio based on internal briefs
  • Set campaigns live, generate insertion orders (IOs), and provide monthly delivery updates (DI Post Logs) using actual impression and rate data

✅ What We’re Looking For (Must-Have)

  • Strong written English communication skills
  • Excellent attention to detail—especially with data entry and campaign tracking
  • Solid experience with Excel or Google Sheets
  • Comfortable managing outreach, follow-ups, and coordination with external vendors
  • Able to follow detailed briefs and handle repetitive, process-driven tasks with high accuracy
  • Willing and able to work in a US time zone

⭐ Nice-to-Have Skills

  • Experience with ADVendio or other CRM/media buying platforms
  • Familiarity with podcasting, radio, or digital audio advertising
  • Experience trafficking creative assets or managing ad content delivery
  • Basic understanding of media planning, impressions, and delivery metrics
