SUMMARY OF POSITION AND OBJECTIVES:
To work as part of the Operations Team providing a high level of professional customer service to our clients. Ensuring the efficient planning, coordination and administrative support for all certification and 2nd Party Audits across the assigned program area/s. To be the main contact for clients of the assigned program area, ensuring operational compliance with all program specific and accreditation requirements.
POSITION & OBJECTIVES:
Delivering Excellent Customer Service for all our clients. Main contact for external stakeholders. Coordinate and arrange audits and manage the certification process prior to and after audit visits to client’s sites in line with the requirements of the applicable program and ISO17065 requirements. Coordinate and arrange 2nd Party Audits and accreditation/compliance witness audits for all standards. Maintain up to date, working knowledge of program operational requirements and contribute to process improvements and changes to ensure delivery of efficient and compliant certification services. If applicable, attend meetings and conferences as required by Certification Programme Owners (CPO) or support the business at trade events.
The above will include:
- Liaison with CPOs /
- Preparation and issue of Audit application forms and contracts to new and existing clients
- Liaison with clients to arrange dates for audit visits to maintain Certification status in ADVANCE of their audit window and the subsequent communication with auditors
- Liaison with auditors regarding booked audits (Employed and Subcontractors)
- Maintaining and updating Audit scheduling systems
- Managing the audit diary effectively and efficiently to ensure optimum Auditor utilisation
- Liaison with SQF or GRMA / ANAB to assist the planning of Compliance and witness audits
- To ensure assignment of audits to auditors with correct skill categories
- Maintain log of all lost and gained sites, including reasons for leaving (where applicable) and contact details – communicate all losses and gains to Sales / Account manager for follow up
- Ensure Sales is advised of any potential new clients for follow up
- Maintain an up to date list of all clients including address, contact details and Job Title of key personnel
- Ensure saving of all key communication with sites is maintained in the client files
- Support continuous improvement of systems and ways of working including offering system enhancement for Eurofins Assurance Online (EAOL)
- Document all client info onto EAOL online audit system – to include all 2nd Party clients as well as SQF/GRMA clients
- Generate Standard operating procedures (SOPs) for EAOL and Eurofins Assurance US systems
- Use and implement of EAOL as certification tool, maintaining accurate data
- Follow and document certification processes including uploading of reports, certification decision and certificate generation into EAOL.
- Attend & participate in team meetings
- Ensure accurate pricing, for efficient invoicing. Including follow up on collection of overdue invoices
- Initiate withdrawal of certification when payment is not received, or site no longer meets certification requirements
- Manage cadence of all surveillance, monitoring, or recertification activities
- In addition, any other duties which may reasonably be expected to fall within the scope of this position, as assigned.
Education Minimum Required:
- Bachelor’s degree in life science, food science/technology, quality, regulatory affairs, data science, engineering, or related area.
- Additional work experience can be substituted for education.
Experience Minimum Required:
- 1-3 years of experience
- Demonstrated competency with Microsoft Excel, Word, PPT and databases is essential
- Commitment to providing Excellent Customer Service is essential
- Ability to think on your feet, work well under pressure and a strong urge to get the job done are all essential for this role.
- Strong interpersonal and communication skills are essential as is ability to have a flexible attitude to work and the constantly changing demands of the role and the industry.
- Data management experience a plus
