About the Role
The Development Coordinator, Data & Donor Services provides exceptional organizational support in the areas of donor services, gift processing support, and database administration. This position is responsible for coordinating and supporting gift processing, donor relationship support and stewardship, and communication activities in order to ensure successful implementation of Food Banks’ Canada mandate. This position ensures that gifts are processed in a timely manner, according to rules and CRA regulations, and ensures a positive image of Food Banks Canada with its network, stakeholders, and the public.
What You Will Be Doing
- Ensure the highest level of donor experience by acting as the primary point of contact for donors and supporters through contact forms, email, phone, and other programs and processes as required
- Utilize the CRM to track donor interactions and manage contact preferences
- Support the Individual Giving team by providing reports for donor stewardship activities including thank you letters, thank you calls, and capturing all activities in the CRM
- Support with the sending of offline tribute cards
- Provide timely and accurate gift processing inclusive of offline and online gifts
- Support donors with any inquiries related to their donations
- Acknowledge and receipt all gifts (including annualized receipting for monthly donors) as appropriate and in accordance with organizational policies and procedures and Canada Revenue Agency (CRA) guidelines
- Ensure refunds, chargebacks and adjustments are completed for all donation types
- Research, apply, and ensure compliance with regulatory guidelines of the CRA
- Identify opportunities for process improvements and work to implement changes
- Support third-party fundraising platforms and the importing of donations to the CRM (Fundraise Up, Raisin, Benevity, Canada Helps, etc.)
- Coordinate with finance to ensure that we have necessary donor information for gift processing and reconciliation
- Support the Manager, Data & Donor Services in ensuring accuracy and hygiene of data
- Support the Development and Partnerships team and staff through production of lists, queries, and reports
- Assist with training and technical support of staff
- Support the coordination of the quarterly redistribution of funds directed to the food bank network from individual donors
- Stay current with updates to the system and make process revisions necessary
- Other duties as assigned
What You Will Need
- Minimum 2 years’ experience in development/gift processing/customer relations within the social profit sector
- Experience with managing customer or donor relationships, activations, and relationship management
- Completion of a post-secondary college diploma program or equivalent in fundraising management (preferred) or public relations or communications
- Exceptional attention to detail and accuracy
- Knowledge of fundraising practices, procedures and CRA guidelines
- Knowledge of Donor Bill of Rights
- Problem solver and strong relationship building skills
- Demonstrated ability to prioritize work, manage deliverables and handle multiple tasks simultaneously in a fast-paced environment
- Clear, professional, and warm communicator
- Ability to work collaboratively across teams
- Strong technical skills: Databases (Microsoft Dynamics, Fundraise Up, Raisin, Freshdesk an asset) and the ability to learn other web-based systems
- Committed to organizational mission of reducing hunger
- Bilingualism (English/French) is an asset
Working Conditions
- Full-time, Monday-Friday, with occasional evening and weekend work
- This position is remote and may be based anywhere in Canada
