We are seeking a proactive and highly organized Part-Time Executive Assistant (approximately 20 hours per week) to provide comprehensive support to the executive by managing daily priorities, streamlining processes, and ensuring efficient project and time management. The ideal candidate will be skilled in project tracking, communication, and CRM management, helping to optimize the executive’s productivity and organization.
Key Responsibilities:
- Prioritize and determine the highest and best use of the executive’s time each week to maximize productivity.
- Monitor progress and completion of ongoing projects to ensure deadlines are met.
- Create and maintain project management templates to streamline workflows.
- Follow up on contracts and ensure timely completion of contractual obligations.
- Schedule and coordinate meetings, managing calendar with daily prioritization.
- Record action items and To-Dos at the end of meetings or days, entering them accurately into the CRM (HubSpot).
- Summarize meeting discussions and send clear, concise follow-up emails.
- Support prospecting efforts by drafting emails and LinkedIn messages.
- Organize and maintain digital files for easy access and improved efficiency.
- Manage inbox and calendar with attention to priority and urgency.
- Maintain and clean up CRM data regularly to ensure accuracy and usability.
- Develop and update Standard Operating Procedures (SOPs) and internal process documentation.
- Assist with light bookkeeping tasks and invoice follow-ups as needed.
Requirements
- Proven experience as an Executive Assistant or in a similar role supporting senior executives.
- Strong organizational and time-management skills with an ability to prioritize effectively.
- Proficiency with CRM systems, preferably HubSpot.
- Skilled in using digital productivity tools such as Evernote, LinkedIn, and AI tools (e.g., ChatGPT) to enhance efficiency and communication.
- Excellent communication skills, both written and verbal.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Comfortable creating templates, SOPs, and documentation.
- Basic understanding of bookkeeping and invoicing is a plus.
- Tech-savvy with experience managing calendars, emails, and digital files.
