We are looking for a world-class Executive Assistant to support Andrew Hathaway across multiple businesses—Freedom AI, Virtual Assist, King's Financial Coaching, and his personal brand. This role blends administrative excellence, creative execution, and light operations management inside a fast-paced, mission-driven environment.

Requirements

Key Responsibilities

Administrative Excellence

  • Manage and organize Andrew’s calendar; schedule meetings, appointments, and travel.
  • Monitor, organize, and reply to emails with discernment and confidence.
  • Maintain inbox prioritization systems and ensure daily zero-based clarity.
  • Prepare and maintain reports, spreadsheets, and documents inside Google Workspace.
  • Create task lists and ensure all follow-ups and deadlines are executed on time.
  • Handle inbound calls, messages, and inquiries during U.S. business hours.
  • Maintain CRM data, tracking sheets, client notes, and contact lists.
  • Take detailed meeting notes, summarize discussions, and send action steps.
  • Coordinate personal and professional tasks (appointments, flights, errands, etc.).
  • Ensure Andrew is fully prepared for every meeting—with materials, notes, and prep work.

Brand, Media & Creative Support

  • Edit short-form videos for Instagram, YouTube, TikTok, and Facebook.
  • Manage and post content across Andrew’s social media profiles.
  • Help maintain consistency of the personal brand across all channels.
  • Create simple graphics, assets, and captions as needed.
  • Assist with social media engagement, community interaction, and basic analytics.

Podcast & Communication Support

  • Take intro calls for the podcast (“Big Hitters” and other shows).
  • Warmly welcome guests, gather details, schedule interviews, and manage logistics.
  • Handle follow-ups, guest prep, and communication with excellence and detail.

Operational & Team Support

  • Assist in managing the internal team’s daily tasks and assignments.
  • Coordinate with VAs, contractors, and business partners as needed.
  • Build simple automations using N8N to streamline workflows and eliminate manual work.
  • Learn and adapt to new tools and systems quickly.
  • Uphold a culture of integrity, stewardship, and excellence.

Qualifications & Skills

  • 2+ years of proven experience as an Executive Assistant or high-level administrative VA.
  • Strong background in organization, scheduling, communication, and discretion.
  • Excellent written and spoken English.
  • Experience with Google Workspace, CRMs, spreadsheets, and project tools.
  • Ability to edit videos using tools like CapCut, Descript, or Adobe Premiere (basic to intermediate).
  • Tech-savvy, fast learner, and excited to work in AI-forward environments.
  • Some familiarity with automation tools (N8N preferred, Zapier acceptable).
  • Warm, relational, and able to represent Andrew’s voice professionally and graciously.
  • Strong attention to detail, follow-through, and reliability.
  • Comfortable working U.S. business hours.
