The Learning Administrative Specialist plays a pivotal role in supporting the day-to-day seamless functioning of Cprime’s Learning Team in the North American. This role involves handling various administrative tasks, ensuring efficient operations, and contributing to the delivery of high-quality courses and learning experiences for our customers and clients. While this position primarily entails routine and task-oriented responsibilities, it is imperative that the Learning Administrative Specialist can confidently operate in a dynamic environment - where no two days are the same. An effective Learning Administrative Specialist will excel in standard processes while also adapting to the team’s evolving needs.
This role's hours will be 6:30pm-3:00am IST to overlap with the US EST time zone. The person would need to be located in Chennai, but can work remote. (not for instance live in a different city and travel in when needed for events)

What you will do:

  • Assist Learning Managers in handling client needs, including but not limited to: uploading session rosters in Salesforce, generating reports (attendance, learning credits, program analysis, certifications, etc.) and collaboratively addressing other client-related requirements.
  • Customize templates (PPT) for pre/post course calls and monthly/quarterly business reviews, ensuring all relevant information is accurately presented.
  • Maintain accurate documentation and enrollments for Scaled Agile, Scrum Alliance, and IC Agile training programs. This includes tasks such as creating, editing, and/or canceling sessions, license procurement, uploading student rosters, and summarizing certification data on a weekly/as needed basis.
  • Keep track of pre-purchased licenses and provide recommendations for when to purchase additional licenses (IC Agile)
  • Order printed workbooks and other materials, as requested, for in-person and virtual sessions and document shipping information appropriately.
  • Monitor lab environment costs and efficiencies, providing regular reports on findings.
  • Obtain travel and expenses for in-person sessions and verify they are entered into Salesforce and Projector.
  • Code all invoices and receipts for licensing/certification purchases, shipped training materials, applicable instructor travel, and lab costs in the appropriate system (Expensify, Excel, Google Sheets, Confluence).
  • Evaluate post-course feedback, prioritizing the escalation of negative reviews while highlighting positive comments.
  • Acquire proficiency in the Learning delivery process for both private and public sessions through learning and comprehension.
  • Ensure prompt response to inquiries and requests by utilizing Slack and email communication channels.
  • Create and maintain process documentation in Confluence.
  • Format and export courseware in its final version for student materials in accordance with Cprime brand and copyright requirements, and update materials in Sharefile and Salesforce.
  • Work in collaboration with the Finance Team to support invoicing in Projector and awareness for unique client needs, investigate and resolve client billing questions, and reconcile payments.
  • Coordinate daily and weekly schedule updates and ensure timely notifications of session cancellations to the Learning Partners.
  • Upload bulk orders from the Learning Partners.
  • Adjust public sessions and course information in Salesforce as needed.

Qualifications and Skills:

  • More than two years proven professional work history working remotely during East Coast United States business hours.
  • Ability to communicate in real time and effectively with United States-based team.
  • Professional-level English skills or higher, written and verbal communications skills that are well-articulated.
  • Effective organization and time management skills.
  • High-level attention to detail.
  • Adaptable and quick to learn internal processes, systems, and technologies.
  • Proven record of being self-motivated, reliable, and having a strong work ethic.
  • Successful when working in an autonomous work atmosphere.
  • Proactively asks questions for clarification and provides detailed feedback regarding onboarding and new task requests.
  • Able to retain information to perform duties quickly and accurately.
  • Capable of prioritizing and taking ownership of assigned responsibilities.
  • Proactive, responsive, and solution-focused when addressing challenges.
  • Works well independently and as part of a cross-cultural and cross-functioning team.
  • Fosters a problem-solving mindset and commitment to professional growth.

Nice to Have:

  • Previous business administrative experience in a corporate environment
  • Experience using the following programs: Salesforce, Zoom, Slack, PowerPoint, Excel, Word, Adobe Acrobat, Sharefile, Confluence, Projector and/or Expensify.
  • Knowledge of Agile methodologies
  • Experience working with certification organizations such as Scaled Agile, Scrum Alliance, and IC Agile

Education and Certifications:

  • Bachelor’s Degree or equivalent work experience
