About the Role
You will provide comprehensive admin, marketing, client management, and tech/automation support to help grow and streamline business operations. This role requires a highly organized, detail-oriented self-starter with project management skills and a creative marketing mindset. Experience with Keap, Kajabi, Leadpages, ManyChat, and Canva is essential to build automations, manage content, and optimize campaigns.
Key Responsibilities
Admin: Operations & Reporting
Attention to detail regarding SOPs, project management, and documentation.
Organize marketing assets in Google Drive and Dropbox.
Track performance metrics including email engagement, funnel conversions, and campaign results.
Provide weekly updates on tasks, deliverables, and project progress.
Identify opportunities to improve efficiency through automation.
Marketing: Messaging, Systems & Advertising
Build, maintain, and optimize automations, tags, and campaigns in Keap.
Set up and update products, offers, and checkout pages in Kajabi and Spiffy.
Create and publish landing pages and opt-ins in Leadpages.
Configure and maintain ManyChat automations for Messenger and Instagram.
Troubleshoot integration issues and document marketing systems.
Manage paid advertising campaigns and public relations efforts.
Design branded graphics and promotional assets for social media, email, and landing pages using Canva.
Repurpose content such as podcasts into Stories, Reels, and carousels.
Schedule and publish content across Facebook, Instagram, and Telegram.
Upload and format pre-written email content in Keap and Kajabi.
Set up and maintain pop-up Facebook groups for events and campaigns.
Clean up and update website content including links and outdated offers.
Client Management: Program Delivery Support
Upload weekly recordings for programs to Vimeo and Kajabi.
Update Kajabi modules with new replays and resources.
Schedule email reminders for client calls and events.
Support onboarding with welcome emails, access links, and group invites.
Ensure seamless client experience accessing digital materials.
Set up offboarding process automations.
Create and maintain Facebook and Telegram groups for pop-up programs with automations.
Sales Follow-ups
Manage follow-ups through social media DMs, Facebook groups, and email.

Preferred Skills & Qualities
Strong written and spoken English.
Highly organized, detail-oriented, and able to manage projects independently.
Creative mindset with graphic design skills using Canva.
Strong problem-solving and follow-through capabilities.
Comfortable with daily check-ins and 2-3 hours overlap with Pacific Time.
