About the Role
You will provide executive support, marketing assistance, and client communication to streamline operations and enhance client engagement. This role needs a highly detail-oriented, organized self-starter who can manage scheduling with precision and support marketing and client follow-up activities effectively.
Key Responsibilities
Admin: Scheduling & Operations
Manage and sync calendars ensuring no double bookings and adequate buffers between meetings.
Ensure travel time, correct meeting locations, and Zoom info are accurately reflected on invites.
Recreate and standardize SuperBill documents per clients’ insurance specifications, convert to PDF, and send to clients.
Develop and standardize administrative processes and forms.
Proofread communications and documents.
Post Rameya’s PowerPoint presentations for lectures.
Create PowerPoint presentations for workshops.
Marketing: Content & Communication
Create, post, manage, and engage on social media content.
Synchronize marketing materials across platforms (e.g., website and flyers).
Design flyers for events.
Create and send event invitations and routine monthly emails.
Client Management: Communication & Follow-up
Field initial client communications via email or calls.
Verify client insurance information.
Explain Rameya’s approaches, therapy vs coaching, and other service details.
Follow up with clients who need to schedule sessions or have been inactive for months.
