What you’ll be part of:

Speed and efficiency are motivators for our success and our employees live by our company values: High Integrity, Future Forward, Multistakeholder, Mindful, and Driven by Excellence. We have built a flexible and diverse work environment where new ideas are encouraged and everyone is a stakeholder.

What you’ll be responsible for:

As the Guest Experience Coordinator you are the first—and lasting—impression of Circle Headquarters. You will execute daily reception, concierge and light facilities duties so that every Circler, guest and vendor enjoys a seamless, premium experience. Your day begins by preparing the space before doors open and ends by ensuring it is pristine for the next morning.

What you’ll work on:

  • Opening (8:30 AM – 9:00 AM)

    • Walk all floors to verify cleanliness and brand standards.

    • Power‑up Nespresso machines; restock coffee, tea and amenity stations.

    • Draft and distribute the daily “HQ Brief” outlining visitors, vendors, scheduled maintenance and events.

    • Pre‑register all visitors in the WTC security system.

  • Throughout the day

    • Serve as primary greeter at reception; issue badges and enter service requests.

    • Own the look and feel of reception, commons, pantries and bathrooms—tidy surfaces, replenish supplies, and perform hourly checks.

    • Monitor RingCentral phone lines (Boston & NYC), Stable Mail and shared inboxes.

    • Track, receive and deliver all incoming packages; manage outgoing shipments.

    • Maintain office‑supply inventory; place replenishment orders within budget.

    • Log maintenance requests, breakage and vendor work orders; follow through to resolution.

    • Manage guest requests as they arise

    • Support special projects as they arise — assist the HQ team with ad-hoc initiatives (executive events, office moves, vendor activations, process roll-outs) while maintaining day-to-day service excellence.

  • Closing (5:00 PM – 5:30 PM)

    • Perform final floor sweep, ensuring desks are cleared and shared spaces reset.

    • Sanitize and shut down Nespresso machines; restock consumables for morning use.

    • Conduct end‑of‑day bathroom and pantry checks; secure all doors.

What you’ll bring to Circle:

  • 2 + years in a hospitality, hotel concierge, front‑of‑house hosting or facilities‑coordination role.

  • Track record of delivering white‑glove guest service in a fast‑paced, high‑profile environment.

  • Polished verbal and written communication; confident interacting with executives and external partners.

  • Familiarity with Google Workspace, Slack, RingCentral (or comparable phone system) and basic ticketing/CMMS tools.

  • Ability to lift up to 25 lbs and spend extended periods walking or standing.

  • Flexibility to work occasional early mornings, evenings or overtime during special events.

  • Strong organizational skills and the judgment to prioritize multiple concurrent requests.

Additional information:

  • Full‑time hourly position with overtime eligibility under the Fair Labor Standards Act.

  • Must be present on site five days per week; this role is not eligible for remote work

  • Circle offers market‑competitive pay, comprehensive health benefits, PTO, and professional‑development opportunities.

What drives us

Valuing our employees as stakeholders is about creating an environment where people can thrive and grow, be challenged and learn constantly – an environment that thrives on diversity by drawing competitive strength from within.

  • Multistakeholder: We organize, incentivize and measure ourselves against meeting the needs of all of our stakeholders — our customers, our shareholders, our employees and families, our local communities and our world.

  • Mindful: We seek to be present and aware, to be respectful, active listeners (with each other and with our customers alike), and to pay attention to detail. We don’t rush to judgment, and when we are swept up by strong emotions we patiently observe and acknowledge them before reacting. Our mindfulness leads to better understanding, and more respectful, careful and deliberate choices.

  • Driven by excellence: We are driven by our mission and our passion for customer success. Being driven also means that we relentlessly pursue excellence, that we do not tolerate mediocrity, that we reward based on merit, and that we work intensely to achieve our goals. We are a team that seeks to bring everyone along in our collective achievement.

  • High integrity: We seek open and honest communication, and hold ourselves to very high moral and ethical standards. Our customers and partners implicitly experience us as high integrity, and our customer centric choices demonstrate this to them again and again.
