Position Overview:Care Access is seeking a strategic and proactive Ambassador Marketing and Operations Manager to lead and optimize outreach initiatives that directly connect with patients and communities through our Ambassador Program and member-level marketing efforts. This role will work closely with the Community Engagement team in developing, improving, and scaling a grassroots marketing approach by leveraging local Ambassadors and local insights and partnerships to increase awareness, trust, and participation in the Future of Medicine Program.
The ideal candidate will be highly organized, data-driven, and relationship-oriented, able to build meaningful connections with our Community Engagement Partners who are our internal bridge to our Ambassadors. This person will create tools, processes, and resources that empower Ambassadors to be successful advocates while maintaining the strategic vision for patient outreach and marketing effectiveness.
This role combines field marketing, content development, and continuous process improvement — all aimed at driving patient awareness, engagement, and recruitment in diverse regions and communities.  
What You'll Be Working On:Duties include but not limited to:

Ambassador Program Management and Marketing Execution:

  • Develop and continuously improve Ambassador resources, including playbooks, talking points, flyers, FAQs, and outreach templates.
  • Create and manage attribution mechanisms such as QR codes, UTM links, and other tracking tools to monitor Ambassador performance and impact.
  • Oversee Ambassador payments and ensure timely, accurate processing.
  • Leverage feedback and data insights to refine Ambassador outreach strategies and messaging.
  • Maintain and optimize a CRM to track Ambassador activities, categorize engagement, and report on outcomes.

Content Development and Marketing Operations

  • Manage the organization and deployment of member-facing marketing materials in coordination with internal teams.
  • Ensure consistency, clarity, and accessibility in marketing collateral — simplifying complex medical concepts for diverse audiences.
  • Oversee marketing execution at community events and partner locations to drive awareness and participation.

Program Leadership and Cross-Team Collaboration

  • Serve as the key liaison between patient marketing and local community engagement teams to ensure unified messaging and aligned goals.
  • Analyze and report on marketing performance data, including Ambassador attribution and member engagement metrics, to drive continuous improvement.

Localized Outreach and Communication Strategy

  • Recognize, analyze, and adapt outreach strategies to align with regional communication styles and cultural
  • Support and innovate on-site marketing activations and event-based outreach alongside local site and event teams.
  • Assist with data collection, implementation, and reporting at events and site locations
  • Provide creative solutions to support local events and ad hoc outreach opportunities.
  • Stay informed of best practices in grassroots marketing, patient engagement, and Ambassador program management to continually refine program effectiveness.
  • Ensure Ambassador-related processes are compliant and scalable, supporting organizational growth and geographic expansion.

Physical & Travel Requirements:

  • This role requires 100% of work to be performed in a remote office environment and requires the ability to use keyboards and other computer equipment.
  • OR Physical demands associated with this positive include: Walking, Standing, Sitting, Lifting (minimal), and drive to local events/sites
  • This role requires up to 20% travel. Length of travel will depend upon study requirements, staff needs, and company initiatives.

What you Bring - Knowledge, Skills, and Abilities:

  • 3+ years of experience in marketing, grassroots outreach, or community engagement— preferably in healthcare or public health.
  • Proven success in designing and managing influencer or field marketing programs, including attribution methods and payment processes.
  • Strong experience maintaining CRM systems to manage distributed teams, track outcomes, and drive actionable insights.
  • Ability to curate compelling, user-friendly marketing collateral and Ambassador resources, such as playbooks, flyers, talking points, and FAQs.
  • Skilled in analyzing data and feedback to optimize outreach and marketing tactics in real time.
  • Strong project management capabilities with the ability to juggle multiple initiatives, stakeholders, and timelines while maintaining attention to detail.
  • Excellent relationship-building skills, with the ability to work collaboratively across teams and with diverse external partners and community advocates.
  • Proficiency with marketing platforms and tools such as CRM systems, Canva (or similar creative tools), social media management, and basic email marketing platforms.
  • Comfortable working in a fast-paced, mission-driven environment that values adaptability, accountability, and results.

Certifications, Education, and Experience:

  • Bachelor's degree or equivalent experience in Marketing, Communications, Public Health, Business, or a related field
  • Experience in grassroots marketing, influencer program management, or healthcare marketing preferred.
  • Familiarity with clinical research, patient advocacy, and/or community health outreach strongly preferred.
  • Knowledge of paid media, digital patient acquisition, and attribution methodologies is a plus.
  • Spanish or other bilingual abilities are a plus but not required.
