Job Description
As the Guest Communications & Reservations Coordinator, you will be the frontline voice of one of Singapore’s most iconic beachfront venues. This role is ideal for someone with a strong service mindset, attention to detail, and the ability to manage guest enquiries, booking, and VIP experiences. Your goal is to ensure seamless communication with guests across digital channels, maintain accurate records, and contribute to delivering a world-class hospitality experience.
Responsibilities
- Monitor and respond to reservation enquiries via social DMs (Instagram and Facebook)
- Set up and maintain ManyChat for automated messaging
- Reach out to hotel concierges across Singapore and invite them for hosted visits to Tanjong Beach Club
- Handle clerical duties, including logging daily requests (e.g., tab, table changes, guest additions) and guest feedback in the system
- Flag notable guest preferences or concerns to the manager promptly
- Prepare accurate shift handover notes
- Maintain and update guest profiles and reservation records regularly
- Track and document all lost and found items properly
- Reconfirm upcoming reservations
- Review bookings for the next 2–3 days, reach out to VIPs and birthday guests to explore opportunities for personalization
- Assess all bookings and allocate tables strategically, grouping spenders and party guests where possible
- For event enquiries, handle the initial call or message, gather key details, and pass them on to the Sales & Events team
- Support the team in managing the waitlist when needed
Requirements
- Experience in hospitality, guest services, or reservations coordination
- Strong written and verbal communication skills
- Familiarity with Instagram, Facebook, and messaging tools such as ManyChat
- Detail-oriented with excellent organizational and clerical skills
- Comfortable using CRM or booking systems
- Ability to multitask and respond promptly to guest needs
- Professional, guest-first attitude with a high level of discretion and care
