Summary

The Proposal Coordinator will work in conjunction with the Business Development (BD) team as well as professional and technical staff to execute proposal development and marketing materials.

The pay range for this position is $29.91-$36.20/hour.

Essential Duties and Responsibilities (including but not limited to):

  • Review government databases to identify potential opportunities.
  • Read, interpret, and analyze Request for Qualifications (RFQ)/Request for Proposal (RFP) requirements.
  • Support invitation to bid (ITB) opportunities.
  • Support the development of RFQs/RFPs by collecting and compiling information through final delivery. This includes but is not limited to formatting, editing, writing, corresponding with staff and clients, final production, and delivery.
  • Coordinate with in-house staff and team members to obtain their timely proposal submissions.
  • Support Proposal Manager(s) and/or other Proposal Coordinator(s) by researching information for proposal responses (e.g., metrics, dates, etc.).
  • Maintain proposal and project information/attributes with a Customer Relationship Management (CRM) database.
  • Prepare and coordinate past performance submissions and documents.
  • Edit and review draft documents for conformance to solicitation requirements.
  • Maintain, organize, and update all marketing resources and materials database (resumes, project pages, standard proposal sections, graphics, etc.).
  • Dissect and catalog proposal information for future use.
  • Work with the BD department to ensure the deployment of quality sales strategies and consistently apply the Ahtna brand.
  • Other duties and responsibilities as assigned.

Minimum Qualifications

  • Associate degree in an applicable discipline.
    • Work experience may substitute for education on a 1:1 basis.
  • Proficient knowledge of MS Office (Word, Excel, PowerPoint) and Adobe CS applications (InDesign, Illustrator, and Photoshop).
  • Experience working in an environmental, engineering, or construction-related field preferred.
  • Graphic arts interests and/or experience.
  • Ability to pass background checks by various Federal Agencies (e.g., DOD, DHS, FAA, etc.) to obtain security access.
  • Must be a US Citizen.
  • Valid Driver’s license with a clean driving record, able to drive company vehicles

Level - I

  • Zero to one (1) or more years of work experience (proposals/marketing/writing experience preferred

Preferred Qualifications

  • 1-3 years of experience in a Marketing and/or Communications role.
  • Experience using CRM systems.
  • Bachelor’s degree in an applicable discipline.
  • Experience responding to Department of Defense, federal, municipal, and tribal RFPs.
  • Experience and knowledge of Alaska Native cultures.

Physical Demands

Frequent sitting, using hands/fingers, handling, reaching with hands and arms, talking, hearing, and seeing (up close, at a distance, along the periphery, with depth perception and the ability to adjust focus); walking; bending, pushing, pulling, and standing for up to 4 hours; occasional lifting of up to 25 pounds.

Work Environment

The work environment characteristics described in this job description are representative of those an employee encounters while performing the essential duties and responsibilities of this job. Work performed in a professional office setting utilizing telephone, computer, and other office equipment. Moderate travel is required to shareholder communities, subsidiary offices, and other locations as needed.

Work Schedule: Monday-Friday, 8:00 am – 5:00 pm or as business needs dictate
