Role Overview
We are seeking a highly organized and proactive Lead Psychiatric Secretary to join our dedicated mental health team. In this fully remote role, you will serve as a crucial point of contact, facilitating communication between patients, healthcare providers, and administrative staff while ensuring the smooth operation of our psychiatric services.
Responsibilities
- Oversee daily administrative operations, managing schedules, appointments, and inquiries for psychiatric services
- Coordinate patient intake processes, ensuring accurate documentation and compliance with confidentiality regulations
- Act as a liaison between patients and healthcare professionals, addressing questions and concerns with empathy and professionalism
- Maintain and organize patient records and administrative files in accordance with HIPAA guidelines
- Assist in the development and implementation of office procedures to enhance workflow efficiency
- Train and mentor junior administrative staff, fostering a collaborative and supportive team environment
Required and Preferred Qualifications
Required:
- 3+ years of experience in a medical administrative role, preferably within a psychiatric or mental health setting
- Proficiency in medical terminology and understanding of psychiatric healthcare practices
- Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously
- Strong communication skills, both verbal and written, with the ability to interact effectively with diverse patient populations
Preferred:
- Experience with electronic health record (EHR) systems and patient management software
- Certification in medical administration or related field
- Knowledge of mental health resources and community support services
Technical Skills and Relevant Technologies
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual communication tools
- Familiarity with EHR software and telehealth platforms
- Ability to leverage technology to improve administrative processes and patient engagement
