Role Overview
We are looking for a detail-oriented Assistant Convention Services Manager to support our event planning and coordination efforts, ensuring exceptional service delivery and seamless execution of conventions and events. In this role, you will collaborate closely with clients, vendors, and internal teams to create memorable experiences that align with our brand values and client objectives.
Responsibilities
- Assist in the planning and execution of conventions and events, liaising with clients to understand their specific needs and expectations
- Coordinate logistics including venue selection, catering, transportation, and audiovisual requirements to ensure a smooth event experience
- Develop and manage detailed event timelines and budgets, ensuring adherence to project milestones and financial targets
- Act as the primary point of contact for clients during the planning process, addressing inquiries and providing timely updates
- Collaborate with cross-functional teams to ensure all aspects of the event align with the client's vision and our organizational standards
- Conduct post-event evaluations to gather feedback and identify areas for improvement in future events
Required and Preferred Qualifications
Required:
- 2+ years of experience in event planning or convention services management
- Strong organizational skills with the ability to manage multiple projects simultaneously
- Excellent communication and interpersonal skills, with a proven ability to build relationships with clients and stakeholders
- Proficient in project management software and tools
- Ability to work independently and as part of a team in a fast-paced environment
Preferred:
- Bachelor's degree in hospitality management, event management, or a related field
- Experience with virtual and hybrid events
- Familiarity with budgeting and financial management related to event planning
Technical Skills and Relevant Technologies
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software
- Knowledge of current trends and technologies in event planning and management
