Wing Assistant is looking for an Executive Assistant Part Time to support one of our clients in the real estate industry. This remote role offers an exciting opportunity to work with a dynamic team and contribute to the success of marketing initiatives and internal communications.
The Executive Assistant will play a crucial role in enhancing the productivity of our client by managing emails and calendars, automating workflows, and assisting with social media posting. The ideal candidate will have strong communication skills, be detail-oriented, and possess a basic understanding of video editing.
This position requires availability from 9 AM to 1 PM Australian Eastern Standard Time (AEST) and is project-based with a target start date in January. We are looking for candidates who are comfortable navigating various tools and applications, including Hubspot and Zapier.

Responsibilities

  • Help with marketing emails to ensure effective communication with clients.
  • Manage emails and calendars to optimize scheduling and appointments.
  • Assist in video editing tasks as needed.
  • Automate workflows to enhance operational efficiency.
  • Facilitate internal communications to ensure team alignment.
  • Post content on social media platforms to maintain online presence.
  • Support the team in various administrative tasks as required.
  • Coordinate with clients and team members to gather necessary information.
  • Prepare reports and documentation as needed.
  • Handle inquiries and follow up on action items from meetings.
  • Assist in organizing virtual events or meetings.
  • Ensure that all tasks are completed in a timely manner.
  • Continuously seek ways to improve processes and efficiency.
  • Participate in training sessions to enhance skills and knowledge.
  • Provide high-level support to the client and team members.

Requirements

  • Proven experience in a similar role, preferably in the real estate sector.
  • Strong written and verbal communication skills, with an emphasis on clarity and professionalism.
  • Ability to manage multiple tasks and prioritize effectively.
  • High level of proficiency in English, with excellent reading comprehension and writing skills.
  • Familiarity with tools such as Hubspot and Zapier.
  • Basic video editing skills are preferred.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Proficient in using various online communication tools.
  • Comfortable working in a remote environment.
  • Willingness to undergo training and onboarding as required.
  • Ability to handle calls professionally without a noticeable accent.
