Job Summary:

Role: Commercial Coordinator
Hours: Full Time, 37.5 (We are open to discussions on flexibility)

Salary: £30,000 - £35,000 DOE

Location: Scotland Remote

Holidays: 32 inclusive of bank holidays, increasing to 34 after 1 year's service
Pension: Employer 5% Employee 4%

DRAMS provides bulk inventory and distillery warehouse management software designed to meet the unique requirements of maturing spirit producers. Our systems are used by a number of high-profile UK and international companies including Suntory Global Spirits, Bacardi, Campari, Wm Grant & Sons, Whyte & Mackay and Glenmorangie.

What will I be doing day-to-day?

This is an exciting opportunity for a motivated and enthusiastic Commercial Coordinator based in Scotland to join our team and contribute to our continued success. You will be expected to own the operational side of our sales and commercial process. This is not a cold-calling or target-driven sales role. Instead, you’ll work closely with our Managing Director and leadership team to:

  • keep opportunities moving

  • prepare proposals and contracts

  • manage pricing and documentation

  • ensure customers always receive timely, professional responses

Your goal is simple: make it easy for customers to buy from us and remove administrative burden from our leadership team. If you enjoy structure, detail, writing strong commercial documents, and bringing order to complex deals, this role will suit you.

Your key responsibilities will include:

  • Engaging with prospective customers within the distilled spirits market sector throughout the DRAMS sales cycle.

  • Own the CRM ensuring you maintain accurate and up‑to‑date records of sales activities and the pipeline.

  • Produce pipeline and forecast reports working with the Marketing Manager to progress opportunities. Ensure every opportunity has clear next steps and follow-ups

  • Prepare full proposals and statements of work from scoping notes. Create quotes, pricing options and commercial packs.

  • Draft and manage contracts (NDAs, MSAs, SOWs)

  • Manage smaller services and change-request quotes

  • Support the creation and delivery of sales presentations, product demonstrations, and proposal documents. Coordinate customer meetings.

  • Support renewals, upsells and cross-sell opportunities

  • Continuously improve our sales/commercial processes and templates

  • Collaborate with marketing and customer success teams to ensure a seamless prospect-to-customer experience.

  • Continuously build knowledge of DRAMS products, industry regulations, and customer pain points, carrying out desktop marketing initiatives to understand current market trends

  • Stay up to date with industry trends and developments

  • Perform any other reasonable duties as required by Management

What do I need to be eligible to apply?

  • Previous experience in bid / proposal management

  • Experience in commercial operations, sales operations, professional services or consulting environments

  • Experience in B2B and or software / technology environments

  • Strong communication skills – both written and verbal – with the ability to engage professionally with clients.

  • Commercially numerate, comfortable with pricing

  • Highly organised, disciplined approach with excellent time-management skills, strong attention to detail and the ability to manage multiple tasks.

  • Confident using CRM systems and office software (e.g. Excel, Word, Zoho, Salesforce).

  • Ability to work collaboratively as part of a small but dynamic sales team.

  • Currently holds independent right to work in the UK.

It’s not a deal breaker but we would really like it if you also had:

  • Knowledge of the distilled spirits industry would be a distinct advantage.

  • Experience using AI tools
