POSITION ANNOUNCEMENT

POSITION: Legal Secretary – LASSA Project (Full-Time Position)

CLOSING DATE: Position Immediately Available and Closed When Filled

LOCATION: Hybrid Remote – Dallas, Texas

OVERVIEW: Legal Aid of NorthWest Texas (LANWT) seeks a professional, experienced and articulate legal secretary with excellent communication and interpersonal skills for office duties and administrative support for its legal staff in the Legal Aid for Survivors of Sexual Assault (LASSA) project.

DESCRIPTION: LANWT is a non-profit public interest law firm that provides high-quality free civil legal services to low-income persons in 114 counties in North and West Texas.

DUTIES AND RESPONSIBILITIES: A legal secretary provides general secretarial support, correspondence, and other clerical duties to attorneys in the office. Other responsibilities include:

  • General secretarial support to include typing, editing, proofing, and proofreading of correspondence, pleadings, reports in draft and final form.
  • Proficient and accurate use of word processing software, databases and LANWT’s electronic case management system.
  • General filing, copying, mail distribution, answering telephones, maintaining legal files and client records, including tickler systems, calendaring and time-keeping system.
  • Filing legal papers/pleadings at the courthouse or through e-filing, including setting hearing dates, and interacting with court staff, opposing parties and clients.
  • Communicate with staff, clients, courts, vendors and other professional staff and provide back-up for other support personnel as needed.
  • Translating for clients who speak a different language than their advocate (if applicable).
  • Conduct trauma informed, culturally competent intake by answering and returning calls; conduct initial client screening, referring clients who are ineligible for LANWT service to other resources or providers, and creating electronic case files.
  • Creating paper and electronic client files in the electronic case management system, maintaining accurate electronic records for all client files, including, but not limited to, entering case notes, correspondence, scanning documents, filing and calendaring events.
  • Maintain confidentiality and professionalism toward clients, visitors, and other employees at all times.
  • Ensure compliance with Legal Services Corporation regulations, as well as with LANWT’s policies and procedures.
  • Performance of any other duties, which may be assigned by the Managing Attorney, Deputy Director, or Chief Executive Officer.

QUALIFICATIONS:

  • High School Diploma, GED or equivalent.
  • Fluent in Spanish – both verbal and written is required.
  • Prior law office experience in the capacity of secretarial support is preferred.
  • General knowledge and/or experience in law office practices.
  • Ability to communicate and interact in a professional and courteous manner with a diverse population, including office personnel, applicants/clients, vendors, and other professional contacts.
  • Candidate must be detail oriented, efficient, organized and self-motivated.
  • Ability to establish priorities and meet deadlines.
  • Excellent communication skills, both verbal and written.
  • Excellent computer skills with use of Microsoft products preferred.
  • Ability to work independently and exercise good judgment and discretion in the performance of all duties.
  • Ability to engage in occasional travel throughout LANWT’s service area.
  • Excellent attendance record.

SALARY: Current entry-level salary is $33,000 per year. The salary for the successful applicant may be significantly higher, based on applicant’s years of experience.
