This is a remote position.
We are seeking a highly skilled and detail-oriented Legal Secretary to provide full-time support to our legal team, closely mirroring the standards of an experienced in-house legal secretary within an Australian law firm. This role will focus heavily on high-quality document production, administrative support, and ensuring efficient day-to-day legal operations.
The ideal candidate will have extensive experience supporting lawyers with complex document formatting, strong proficiency in Microsoft Word, and a high level of accuracy and reliability. This is a task-based role, with work allocated internally, and does not require direct client communication.
The successful candidate must be available to work full-time aligned with Perth business hours (8:30 AM – 5:00 PM AWST).
ResponsibilitiesProduce, format, and amend complex legal documents with a high degree of accuracy (including contracts, agreements, and transaction documents)
Perform dictaphone typing and transcription from audio recordings
Handle hard copy typing and document revisions as required
Manage lawyers’ timesheet entries accurately and in a timely manner
Maintain electronic filing systems and ensure proper document management protocols are followed
Open and manage new client and matter files within the practice management system
Conduct online searches, including searches relating to tenements and other regulatory registers
Apply advanced formatting skills in Microsoft Word, including cross-referencing, track changes, and document mark-ups
Ensure consistency, quality, and professionalism across all documentation produced
Collaborate with internal legal teams to prioritize and complete assigned tasks efficiently

Requirements
Availability to work full-time aligned with Perth business hours (8:30 AM – 5:00 PM AWST)
Ability to handle confidential information with discretion and professionalism
Strong written and verbal English communication skills
Prior experience supporting lawyers with complex documentation workflows is essential
Experience working in an offshore or remote support capacity for international law firms is highly desirable
QualificationsProven experience as a Legal Secretary or Legal Assistant, preferably supporting Australian law firms
Advanced proficiency in Microsoft Word, particularly in complex legal document formatting
Demonstrated experience with dictation typing and transcription
Familiarity with legal document management systems (iManage preferred) and practice management tools (e.g., Unity)
