As a member of the Marketing team, the Marketing Project Coordinator ensures efficient and timely project management of marketing projects from ideation to completion; collaborates with the marketing team; manages communication with internal and external stakeholders; develops and maintains project plans and timelines; and monitors and reports on resource tracking and other key metrics.Job Description:
Essential Duties and Responsibilities
1. Provides project management for marketing projects
Oversees task management of all marketing projects, including initiation, planning, execution, closeout, and analysis
Administers marketing project management software, including training, continued education, troubleshooting, and advocating effective use of the system
Evaluates all incoming marketing requests, initiating proper workflow processes
Determines project priorities in collaboration with marketing leads, creates assignments, and communicates with stakeholders
Facilitates meetings, documents action items, project scope, timelines, and defined project goals
Creates timeline for all marketing projects to ensure deliverables (printed material, web graphics, press releases, etc.) are created and deadlines are being met in an efficient, effective manner
Monitors effectiveness of project performance and adjust project plans accordingly
Analyzes marketing resource use trends and anticipates workload challenges to provide ample notice of need to supplement existing resources with agency or contractor resources
Creates project workflow processes and monitors active projects to ensure compliance with set processes
Compiles project management data into reports, analyzes data, and recommends process improvements based on trends
2. Monitors marketing team capacity and productivity
Plans and executes production workflows, processes, and assignments, to meet team and organizational objectives
Allocates effort and estimates resource needs for scheduled projects to forecast capacity
Evaluates and anticipates team capacity and capabilities to recommend project prioritization and/or agency support
Collaborates with marketing leadership to align marketing strategies, project priorities, and team capacity
Coordinates with marketing team members to manage individual workloads and working schedules with project timelines
3. Collaborates with the marketing team stakeholders
Advocates for use of strategic marketing practices through utilization of creative briefs, agendas, kick-off meetings, and project debrief measurements
Manages the flow of information from project stakeholders to ensure quality control, communication, and adherence to deadlines for publication projects (newsletters, magazines, directories, etc.), events (national supplier gathering, regional leadership summit, etc.) and continuous improvement projects (process analyzation, change management for internal rollouts, etc.)
Collaborates with creative and digital teams
Establishes and maintains working relationships with external agency contacts and contractors for effective collaboration and project management of joint projects
4. Supports agency partnerships
- Collaborates with internal stakeholders and partner agencies to support project execution and alignment with marketing goals
- Monitors agency work and project deliverables to ensure timelines, quality, and scope are met
- Supports communication between internal teams and agency partners, helping track project spend, timelines, and adherence to scope of work
- Analyzes capabilities of contracted agencies to identify project best-fit; researches, identifies, and recommends external solutions if needed
- Provides input on project fit, scope, and resourcing needs in partnership with marketing leadership
- Evaluates and tracks agency performance and stakeholder satisfaction
5. Acts as an individual contributor to the team by utilizing, directing, and modeling best practices for all marketing projects
6. Other duties as assigned
Additional Job Description:
Required Qualifications
Bachelor’s degree in related field, AND
Three years of experience with marketing and/or project management OR
A combination of marketing related post-secondary and/or professional education and demonstrated relevant work experience in a marketing role equivalent to a total of 7 years. AND
Valid MN driver’s license
Preferred Qualifications
Bachelor’s degree in marketing
Five years of experience in marketing and/or project management
Knowledge of service cooperatives and cooperative purchasing

- This is a remote position, and is subject to Sourcewell's telecommuting policies and procedures.
- On occasion, may be asked to travel to Staples, MN for meetings, professional development or team activities. Potentially twice per year. Notice will be given ahead of time.
