Position : Accounting and Administrative Specialist

Working Hours : Pacific/ Eastern Time Zone

Holidays : TBC

Salary range : 1100-1600 USD/month

Overview:

We are seeking a dedicated and detail-oriented Accounting and Administrative Specialist to join our team. This role is pivotal in ensuring the smooth operation of our financial and administrative functions. The ideal candidate will have a strong background in accounting, excellent organizational skills, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

Email and Document Management:

  • Monitor and manage the inbox and emails in real-time.
  • Record and distribute meeting minutes.
  • Prepare and review documents, ensuring accuracy and completeness.
  • Handle confidential information with discretion.

Reporting and Research:

  • Produce reports, presentations, and spreadsheets as required.
  • Conduct basic research to support various projects and initiatives.

Administrative Tasks:

  • Handle general administrative tasks to support the team.
  • Manage day-to-day bookkeeping tasks, including recording transactions, reconciling accounts, and generating reports.
  • Assist with miscellaneous special projects or duties as needed.

Accounting and Bookkeeping:

  • Perform monthly reconciliation and prepare financial statements.
  • Review, process, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance.
  • Enter accounts payable data with attached invoices; manage purchase orders, track payments, and receipts.
  • Develop quarterly royalty reports and administer royalty payments to clients, track sales data, and reconcile payments with reseller accounts.
  • Safeguard the accuracy of the general ledger and journal entries, prepare balance sheets, and monthly financial reports.
  • Support budget preparation, process improvements, team training, and special projects as assigned.
  • Conduct cost tracking to ensure all financial data is accurately classified by project and cost description in spreadsheets and QuickBooks.
  • Work with managers to provide detailed financial reporting, ensuring costs, timelines, and budgets of projects are accurately forecasted.

Project Management:

  • Assist with basic project management tasks.
  • Organize and maintain files and databases in a confidential manner.
  • Navigate our website to identify and correct errors or omissions.
  • Look for opportunities to save money and operate more efficiently.

Budgeting and Forecasting:

  • Forecast, update, and develop the annual budget.
  • Build out revenue models and forecasting.

Requirements

  • Proficient in Google Suite.
  • Must have 5+ years of experience in the role.
  • Degree in Accounting, Finance, or a related field preferred.
  • Experience as an Accountant, CPA, or Bookkeeper.
  • Experience with accounts payable, accounts receivable, and general ledger, preferably in an e-commerce environment.
  • Proficient in QuickBooks and Xero accounting software.
  • Strong understanding of basic accounting principles and practices.
  • Excellent communication skills.
  • Exceptional attention to detail and organizational skills.
  • Ability to meet deadlines and requires minimal supervision.
  • Availability to work during standard business hours in the Eastern Time Zone.
