Regulatory Specialist

We are seeking a highly organized and detail-oriented Regulatory Specialist to support regulatory documentation, submissions, artwork reviews, compliance tracking, and certification processes across a portfolio of consumer and cosmetic products.

This role partners closely with internal teams and external regulatory agencies to ensure all required documentation, labeling, and approvals are complete, accurate, and delivered on time.

This is not a highly technical regulatory role, but it requires strong coordination skills, attention to detail, and the ability to manage multiple workflows and follow through consistently. The ideal candidate is organized, resourceful, and comfortable owning execution once trained.

What You’ll Be Responsible For

Regulatory Documentation & Submissions

  • Coordinate regulatory deliverables following product, fragrance, or formula approval
  • Gather and submit required documentation (formulas, packaging, technical files, etc.)
  • Manage requests for IFRA, SDSs, and other compliance documentation
  • Track submission status, approvals, and outstanding items

Artwork & Labeling

  • Translate regulatory requirements into packaging copy, disclosures, and labeling
  • Coordinate artwork reviews with external regulatory partners
  • Ensure packaging meets labeling and compliance requirements (e.g., CLP)
  • Track revisions, feedback, and final approvals; communicate updates to design

Cross-Functional Coordination

  • Act as the day-to-day contact between internal teams and regulatory partners
  • Partner with product, design, operations, and sourcing to keep projects on track
  • Follow up on documentation, approvals, and missing inputs
  • Identify risks early and maintain clear project trackers

Certification & Testing Support

  • Gather testing reports, specifications, and technical documentation
  • Coordinate with labs and certification partners
  • Track certification progress and required documentation

Documentation & Compliance Support

  • Maintain organized regulatory files, folders, and trackers
  • Ensure documentation is current, accessible, and well maintained
  • Support retailer compliance (Amazon, Walmart, Target) by gathering required materials
  • Provide documentation for audits, listings, and compliance requests

What You’ll Need to Have

  • Strong written and verbal communication skills
  • Bachelor’s degree preferred (or relevant experience)
  • 1–3 years of experience in coordination, operations, product development, or similar
  • Strong organizational and project tracking skills
  • Experience managing documentation and cross-functional follow-up
  • Proficiency in Google Workspace (Sheets, Drive, Docs)
  • Ability to work independently once trained
  • Interest in regulatory, compliance, packaging, or documentation processes

Nice to Have:

  • Experience in beauty, fragrance, or consumer products
  • Exposure to regulatory or compliance processes (SDS, IFRA, labeling, CLP, etc.)
  • Experience with artwork reviews, document control, or certification workflows
  • Experience working with external vendors, labs, or agencies

  • Compliance requests are handled quickly and accurately
  • Projects move forward with minimal delays, you proactively identify and close gaps
