  • Tax Practice: Tax planning, accounting, and preparation.
  • Synergy Private (Professional Services Practice): Administration and project management for key families and private clients.
  • RIA / Investment Management Firm: Financial planning, investment management, and due diligence.
  • Private Mastermind Community: Paid membership group offering investment education, deal flow, and networking opportunities in private markets.

2. Founder’s Personal Business Interests

  • Personal brand, speaking engagements, consulting, real estate, and private investments.

3. Founder’s Personal Affairs

  • Personal projects requiring professional-grade organization, follow-up, and oversight.

Role Overview:

Mission

Serve as the Founder’s operational force multiplier—driving execution across the enterprise, personal business interests, and personal affairs. The Executive Projects Manager transforms ideas into motion, priorities into plans, and initiatives into measurable outcomes. This role exists to create leverage, structure, and velocity across all initiatives in progress.

Role Importance

This is a high-impact, high-trust leadership and execution role at the heart of a dynamic, multi-entity environment. The Executive Projects Manager will operate within a complex ecosystem spanning multiple operating companies, clients, and confidential projects. Precision, discretion, and resourcefulness are essential.
Only candidates with a proven ability to manage parallel initiatives, think critically, and deliver results in fast-moving, ambiguous settings should apply.

Your responsibilities:

Project Leadership & Execution

  • Translate founder directives into actionable, cross-functional project plans.
  • Oversee 20–30 concurrent initiatives using Notion and Microsoft 365.
  • Coordinate with cross-functional teams (tax, legal, advisory, marketing, operations).
  • Track milestones, deliverables, and risks; communicate progress and escalate issues proactively.

Founder Enablement

  • Manage and maintain the Founder’s Notion-based task list, ensuring alignment across enterprise, business, and personal priorities.
  • Prepare concise executive briefs, draft internal/external communications, and maintain version control.
  • Lead regular alignment and status meetings with the Founder to ensure priorities remain on track.

Operational Systems & Reporting

  • Build and maintain a Notion-based operating system encompassing projects, dashboards, and KPIs.
  • Deliver weekly progress reports summarizing accomplishments, blockers, and next steps.
  • Coordinate data, documentation, and workflows across Microsoft 365 and SharePoint.

Mastermind & Marketing Coordination

  • Oversee programming, communications, guest scheduling, and member experience for the mastermind community.
  • Support creation of marketing collateral, event materials, and digital campaign assets.

Wealth / Tax / Legal / Investment Support

  • Track diligence, compliance, and client deliverables in partnership with professional advisors.
  • Maintain confidential documentation with meticulous attention to accuracy and timeliness.

Requirements

  • 6–10+ years of progressive experience in project management, operations, or Chief of Staff roles.
  • Background in financial services, professional services, or legal/tax/investment environments.
  • Advanced proficiency in Notion and Microsoft 365 (Outlook, Excel, Word, SharePoint, Teams); quick learner of new tools.
  • Executive-level written and verbal communication skills in English.
  • Proven ability to operate independently, manage competing priorities, and deliver under tight deadlines.
  • Strong understanding of marketing, client management, and operational workflows.
  • Exceptional organization, analytical rigor, and discretion.

Preferred Attributes

  • Experience within multi-entity or family office operations.
  • Demonstrated ability to design or optimize systems in Notion and SharePoint.
  • Familiarity with membership-based or mastermind-style businesses.
  • High emotional intelligence, sound judgment, and a bias toward action.
