Position Summary:
As Executive Assistant to the CTO, you will be the right hand to a dynamic technology leader, helping manage a fast-paced schedule, streamline communication and drive key operational tasks. This role requires exceptional attention to detail, tech-savviness and a proactive mindset.
Key Responsibilities
- Calendar & Scheduling: Manage the CTO’s calendar across multiple time zones, including internal meetings, external calls, technical reviews and personal blocks.
- Inbox & Communication Management: Prioritize and flag emails, draft responses, and ensure timely follow-up on action items.
- Meeting Preparation & Follow-up: Prepare agendas, track discussion points and follow up on key action items.
- Document Handling: Organize and maintain technical and operational documentation; assist with formatting or reviewing presentations, briefs, or reports.
- Project Coordination: Support minor project management tasks such as monitoring deadlines, tracking status and facilitating cross-functional collaboration.
- Stakeholder Liaison: Act as a point of contact for internal teams and external partners when required.
- Confidential Support: Handle sensitive information with the utmost confidentiality and professionalism.
- Ad Hoc Tasks: Assist with research, travel coordination and other executive support needs.
Requirements
- Minimum of 3–5 years experience providing executive-level support, preferably within a technology or IaaS startup environment
- Demonstrated ability to operate effectively in a fully remote setting, coordinating across international time zones with consistent availability during Australian business hours
- Technologically proficient, with hands-on experience using Microsoft Teams, Slack, Zoom, and the Microsoft Office suite (Excel, Word, PowerPoint)
- Familiarity with AI tools like ChatGPT or DeepSeek —while deep expertise isn’t required, we value candidates who integrate them into their daily workflow to improve efficiency and output.
- Exceptional organizational and time management skills, with the ability to manage competing priorities and tight deadlines
- Strong attention to detail and a proactive, solutions-oriented approach, backed by a proven track record of initiative and independent problem-solving
- Excellent English communication skills, both written and verbal, with a professional and confident tone
- High level of discretion and reliability in handling confidential, sensitive, and strategic information

- Familiarity with tech or infrastructure industry terminology (especially GPU, cloud, or AI/ML concepts)
- Exposure to fast-scaling startup environments and agile ways of working
- Experience working with distributed teams across multiple geographies
- Understanding of data privacy, security or compliance best practices in tech environments
