Requirements

THE ROLE:

As a Business Support Manager at NexantECA, you will be instrumental in ensuring the efficient operation of our business support functions. This is a remote role, but will require attendance in the London office, once a month.

The role encompasses various critical areas, including team management, project support, brand alignment, quality control, digital asset management, and SharePoint expertise. As this is a small team you will be required to complete tasks personally, as well as managing your team to deliver in all areas:

Key Responsibilities

1. Global Business Support Function:

o Lead and manage dedicated staff in each region, aligning their efforts with NexantECA’s Insights and Consulting business.

o Optimize workload distribution to enhance overall efficiency.

2. Project Support and Document Management:

o Create, amend, and reformat reports, presentations, proposals, and other relevant business documents.

o Collaborate closely with project teams to ensure timely and accurate deliverables.

o Maintain an organized document library, regularly updating and archiving materials.

o Provide general project support to the project manager as and when required, such as managing travel arrangements

3. Brand Alignment and Process Improvement:

o Ensure strict compliance with NexantECA brand guidelines in all communication and materials.

o Develop and maintain templates that promote consistent branding while reducing production time.

o Identify process inefficiencies and propose targeted improvements.

4. Quality Control and Audit:

o Implement robust quality control measures to maintain accuracy and consistency in reports and deliverables.

o Conduct regular audits of documents, presentations, and graphics materials.

o Address discrepancies promptly and provide training to new and existing team members.

5. Digital Asset Management and SharePoint Expertise:

o Effectively manage NexantECA’s digital creative assets, including Microsoft Office templates and add-ins.

o Leverage SharePoint to optimize data structures, enhance collaboration, and streamline workflows.

o Provide expert guidance on best practices for maximizing productivity.

6. Managing contractor database:

o Maintain contractor records

o Onboarding new contractors including Master Service Agreements

o Managing Task Orders

o Maintaining documentation and qualifications

7. Managing Subscriptions and Supplier Information

o Maintain records of subscriptions (e.g., software licenses, industry publications, online services) used by the company.

o Track renewal dates, costs, and user access.

o Ensure compliance with licensing agreements

Expertise

  • Experienced team leader with a track record of success.
  • Proficient in graphics, presentations, and design.
  • Highly skilled in MS Office products (SharePoint, Word, Excel, PowerPoint, Outlook).
  • Intermediate or expert proficiency in Visio, Photoshop, Illustrator, and Acrobat.
  • Familiarity with Visual Basic for Applications (VBA) is a plus.
  • Openness to exploring new ideas, technologies, and industry standards.

Skills and Experience:

  • Verbal and written business professional English.
  • Bachelor’s degree in business administration, Management, or a related field.
  • Proven experience in business support, project coordination, or similar roles.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work effectively in a global, cross-functional environment.
