Job Overview:

The Vendor Relations Administrator is responsible for maintaining and enhancing relationships with key vendors, both on the manufacturing and installation sides of the business. This role involves managing performance metrics, overseeing vendor escalations, coordinating with internal teams, and facilitating effective communication across multiple stakeholders to ensure the timely delivery and quality of products and services. The Vendor Relations Administrator is essential to driving efficiency, cost-effectiveness, and continuous improvement in the supply chain, particularly related to larger programs that require cross-functional collaboration with installation contractors and survey contractors.

Key Responsibilities:

Vendor Relationship Management:

  • Build and maintain strong, collaborative relationships with vendors, suppliers, installation contractors, and survey contractors.
  • Serve as the primary point of contact for all vendor-related inquiries, issues, and concerns.
  • Act as a liaison between vendors and internal teams, ensuring that all communication is clear, efficient, and timely.

Escalation Management:

  • Handle and resolve escalations from internal teams related to vendor performance, delays, or service issues.
  • Work proactively with vendors to address problems before they escalate, ensuring minimal impact on project timelines and quality.
  • Collaborate with Project Management and Operations teams to ensure escalations are managed effectively and solutions are implemented quickly.

Vendor Performance and KPI Management:

  • Define and monitor key performance indicators (KPIs) for all vendors and contractors, tracking performance on quality, delivery times, and cost-efficiency.
  • Regularly assess vendor performance and work closely with vendors to identify opportunities for improvement.
  • Develop and maintain vendor scorecards and reports to track progress, identify trends, and present performance data to senior management.

Vendor Meetings and Communication:

  • Host and lead regular vendor meetings to review performance, resolve issues, and align on business objectives.
  • Provide vendors with necessary updates on project timelines, requirements, and any changes in company policies or procedures.
  • Ensure that vendor expectations align with company goals and strategic initiatives.

Collaboration with Cross-Functional Teams:

  • Collaborate with the Project Management team to ensure that vendor delivery schedules align with project timelines.
  • Work closely with procurement and supply chain teams to manage the sourcing and negotiation of new contracts or agreements with vendors.
  • Coordinate with installation and survey contractors on larger programs, ensuring all vendor contributions are delivered on time and meet quality standards.

Continuous Improvement:

  • Identify and implement process improvements to enhance vendor management practices, optimize vendor performance, and reduce costs.
  • Stay updated on industry trends, new technologies, and best practices in vendor management.
  • Suggest innovative solutions to streamline communication and enhance the efficiency of the vendor management process.

Contract and Agreement Management:

  • Ensure vendors adhere to contract terms, including pricing, delivery schedules, and service level agreements (SLAs).
  • Manage vendor documentation, including contracts, invoices, and compliance records.

Qualifications:

  • Education:
    • Bachelor’s degree in Business, Supply Chain Management, Procurement, or a related field or relevant experience.
    • Certification in Procurement, Project Management, or Vendor Management (e.g., PMP, CIPS, or equivalent) is a plus.
  • Experience:
    • Minimum of 3-5 years of experience in vendor management, procurement, or supply chain, with at least 2 years of experience managing vendor relationships.
    • Proven experience in managing vendor escalations and resolving performance issues.
    • Experience working with cross-functional teams such as Project Management, Operations, and Procurement.
  • Skills:
    • Strong communication and interpersonal skills, with the ability to manage relationships with both internal teams and external vendors.
    • Excellent problem-solving abilities, particularly when dealing with complex vendor issues or delays.
    • Ability to develop and monitor performance metrics, including KPIs and vendor scorecards.
    • Strong negotiation and contract management skills.
    • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and vendor management software or ERP systems (e.g., SAP, Oracle).
    • Ability to work under pressure, manage multiple projects, and meet deadlines.

Salary: $65-75k

Pay Range:

52,000.00 - 78,000.00
