This role offers an exciting opportunity to support workforce development initiatives through data management, analysis, and program administration. The Program Administration and Data Specialist will play a key role in ensuring the accuracy and efficiency of program data, developing visual tools for monitoring progress, and maintaining reporting systems. The position involves close collaboration with multiple teams and partners, providing support for both pre-apprenticeship and registered apprenticeship programs. The environment is collaborative and fast-paced, ideal for someone detail-oriented and skilled at translating data into actionable insights. This role contributes directly to the success of workforce programs and enhances operational effectiveness.
Accountabilities:
- Support the management and entry of program data for pre-apprenticeship and registered apprenticeship initiatives.
- Facilitate application flow and data collection from program partners, including enrollment, attendance, and status tracking.
- Maintain and improve reporting systems using tools such as Smartsheet, Power BI, or Tableau.
- Develop dashboards, charts, and other visual tools to monitor program metrics and progress toward goals.
- Conduct data reconciliation to ensure accuracy across multiple systems and reporting platforms.
- Collaborate with internal teams and program partners to support operational workflows and grant initiatives.
- Maintain email correspondence and follow up with partners regarding reporting deadlines and updates.
Requirements
- Proficiency in Microsoft Excel, including formulas, functions, tables, and ranges.
- Experience with OSOS or similar data management systems is a plus.
- Familiarity with Power BI, Tableau, or Smartsheet for reporting and data visualization.
- Strong attention to detail, organizational skills, and the ability to multitask effectively.
- Excellent communication skills and the ability to work collaboratively with diverse teams.
- Team-oriented mindset and the ability to adapt to evolving program needs.
- Prior experience in program administration or workforce development is advantageous.
