Job Purpose
Reporting to the Sr. Marketing Events Manager, the Marketing Events Coordinator will work to coordinate and support Great Minds’ presence at more than 100 education tradeshow events and meetings a year. Some travel for on-site support will be required. This role demands a willingness to work closely with the event planners and handle all administrative details of meetings and events. The ideal candidate enjoys thriving in a team-based, challenging, and fast-paced atmosphere where prioritizing and multi-tasking are the norm. Exceptional organizational skills and attention to detail are a must to succeed in this role.
Responsibilities
The duties and responsibilities include, but are not limited to the following:
- Work closely and support the event planners on multiple national meetings, large-scale conferences and events.
- Coordinate travel, lodging and expenses for participants traveling to meetings and conferences.
- Develop and maintain relationships with exhibitors/vendors.
- Perform administrative tasks covering meeting preparation, supply ordering, packing/shipping of event materials, and data entry.
- Create invoices and receipts as requested.
- Track and code expenses for event budget reconciliation.
- Other duties as assigned by the Sr. Marketing Events Manager.
- Scout and negotiate Happy hour venues for all national conferences.

- 3+ years professional meeting experience
- Experienced at negotiating and building partnerships with vendors.
- Exceptional customer service skills.
- Strong time management skills and ability to manage concurrent tasks efficiently.
- Superior attention to detail; first class organizational skills.

- Up to date on current trends in the meetings industry.
- Proven project management ability.

Required Education
- Bachelor’s degree or equivalent work experience (marketing, public relations, communications, or related degree a plus).

The expected base salary range for this position is $43,000-$45,000, however the offered salary may be higher or lower than the above range dependent on numerous factors including, but not limited to location, work experience, skills and internal equity considerations. The base salary is not inclusive of benefits or other incentives.
