Executive Assistant to the CEO

Global Life Science Hub has taken on an assignment for their key CRO client that is looking for a new Executive Assistant that will have a pivotal role in supporting the CEO.

You will have the opportunity to work for a small Contract Research Organisation of 100 employees across Europe and the US with huge expansion plans over the next 12 months. The client has been making a massive name for themselves in the industry recently due to their virtual way of getting clinical trials done quickly and effectively.

The appointed candidate must be organized, proactive, and thoughtful and possess a strong history of successfully managing conflicting priorities, interacting with external partners and clients, and establishing clear communication channels internally across multiple departments and functions.

Responsibilities:

• Assisting with all aspects of administrative support for the CEO, and other executives as requested.
• Organizing and scheduling meetings and appointments; taking and / or transcribing meeting notes or minutes and distributing follow-up on action items which are often time sensitive
• Filtering and prioritizing client meetings, consistent with the needs of the executive, and acting accordingly
• Monitoring emails; thoughtfully coordinating customer and management meetings and presentations; and responding to customer and employee inquiries in a timely fashion
• Interacting with other Lightship team members and functional areas to gather, supply, or coordinate information
• Coordinating dynamic travel arrangements, expense reports, and routine and non-routine correspondence in support of day-to-day work
• Researching, compiling, and proofing various reports and / or special projects

Experience/Qualifications

• At least 5 years’ experience in an administrative role, ideally supporting senior/executive leadership in the life science industry
• Bachelor’s degree or a requisite combination of education, training, and experience
• Must be energetic, self-disciplined, and proactive
