Administrative Assistant to CEO (Independent Contractor)

Location: Remote (South Africa)
Working Hours: 3:00 PM – 11:00 PM (SA Time)
Client Base: United States

Role Overview

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support a busy CEO with US-based operations. This is a fully remote, independent contractor role suited to someone who thrives in a fast-paced environment and can manage multiple priorities with minimal supervision.

Key Responsibilities

Manage and coordinate the CEO's calendar, meetings, and appointments across time zones
Handle email management, including drafting, responding, and prioritizing correspondence
Schedule and coordinate meetings with US clients and stakeholders
Prepare documents, reports, and presentations as required
Take meeting notes and track action items to ensure follow-through
Assist with travel arrangements (flights, accommodation, itineraries)
Maintain organized digital filing systems and records
Liaise with internal teams and external partners on behalf of the CEO
Support ad hoc administrative and operational tasks

Minimum Requirements

Proven experience as an Executive Assistant / Administrative Assistant supporting senior leadership
Strong experience working with US clients or in US time zones
Excellent written and verbal English communication skills
High level of discretion and professionalism
Strong organizational and time management skills
Ability to work independently and take initiative
Tech-savvy with proficiency in tools such as Google Workspace / Microsoft Office

Working Conditions

Independent contractor role (not a permanent employee)

Fully remote work environment

Must have a stable internet connection and reliable power backup

Experience supporting a CEO or founder

Experience in a fast-growing or international business
Familiarity with project management tools (e.g., Asana, Trello, Monday.com)
