Who We're Looking For
You are a project manager who actually manages — not someone who updates a spreadsheet and calls it coordination. You own the board. You know what's in flight, what's overdue, what's waiting on compliance, and what's blocked on a decision. You surface the right information to the right person before they have to ask.
You'll inherit a functioning marketing department with two VAs already in place. Your job is to run it — own their task assignments, manage quality, handle compliance routing, and keep leadership informed without burying them in updates.
What You'll Own
- Day-to-day project management across all active marketing deliverables
- Task assignment and output oversight for two marketing VAs
- Compliance routing — every piece of content that requires review is submitted on time, to the right contact, with zero last-minute scrambles
- Maintaining a clean, current project tracker where every deliverable has a status, an owner, and a due date
- Weekly sync or live status updates covering what shipped, what's in progress, and what's blocked
- Proactive escalation of blockers and capacity issues before they become problems
- Documenting processes and SOPs as the department grows
Requirements
- Direct experience managing at least two remote contractors or employees — their output was your responsibility
- Fluency with ClickUp, Asana, Monday, Notion, or equivalent — you are not learning this on the job
- Prior experience in a compliance-adjacent environment where content approval workflows are standard (financial services, legal, insurance, or healthcare strongly preferred)
- Clear, precise written communication — your updates are specific, your asks have deadlines, nothing is ambiguous
- High self-direction — you manage up only when necessary and you solve problems before escalating
- US business hours availability
You Are Not a Fit If
- You need direction on what to prioritize each day
- You have never managed other people's workloads
- Compliance workflows are new territory for you
- You treat project management as a passive, reactive role
Position Details
- Part-time position (20hours per week)
- Salary: $12-14/hour
