Position OverviewWe’re looking for a reliable and detail-oriented freelance professional to support our Finance team with day-to-day accounts payable, expense management, and financial admin tasks. You’ll play a key role in ensuring timely payments, clean data, and smooth coordination across departments. This is a part-time, flexible role—ideal for someone who is comfortable working independently, communicates clearly, and thrives in a remote-first environment. You’ll be joining a small but structured finance team led by a VP of Finance & Operations, with established systems and workflows already in place.

Key Responsibilities
Accounts Payable & Vendor Coordination- Monitor the Accounts Payables email inbox- Communicate with vendors regarding missing information, invoice/payment status, and other inquiries- Process invoices through our bill processing system, ensuring correct approvals- Match invoices with purchase orders (POs)- Prepare vendor payments based on payment terms and internal policies- Follow up with department heads for invoice approvals and other unresolved issues

Expense & Credit Card Management- Categorize corporate credit card transactions- Follow up with employees to collect missing receipts via the expense management app- Process employee reimbursement claims

Documentation & Support- Assist in gathering invoice copies and supporting documentation for grant claims, audits, or internal reporting- Participate in basic bookkeeping and financial data management tasks
Candidate Profile
- At least 2 years of experience with Canadian or U.S. accounts payable, bookkeeping, or finance operations- Consistently available across the week to handle time-sensitive tasks (not limited to dedicated days)- Reliable, organized, and detail-oriented- Strong written communication skills and ability to work independently- Comfortable working asynchronously in a remote environment- Proactive mindset, with a genuine interest in improving workflows through automation and AI tools- Experience with QuickBooks Online, Float or Ramp, Gmail, and Slack is a plus- Proficient in English (spoken and written); French is a strong asset but not required

LocationThis role is open to candidates anywhere in the world, with a preference for a location near one of our offices in Montréal, Calgary, Toronto, Los Angeles, or New York City.
