This is a remote position.
Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Responsibilities:
- Manage client communications ensuring 24-hour response times for general inquiries and real-time responses for operational emergencies
- Conduct daily job auditing and quality control processes, verifying completion of timesheets, photos, checklists, and documentation
- Chase contractors and staff for missing job documentation and ensure all data is properly entered into SimplePro system
- Generate and send client reports regarding scope of works completion and quality control measures
- Support invoicing processes by ensuring all job data is complete and accurate before billing
- Assist with marketing and lead generation activities including content creation and online presence management
- Coordinate scheduling and communication support for 60+ cleaning staff and contractors
- Maintain and update job documentation systems and processes
- Support operations manager (when hired) with data collection and administrative tasks
- Handle important but non-urgent administrative tasks that support business growth
Scopes:
- Primary focus on client communication and response management (highest priority)
- Operations quality control and job auditing (core responsibility)
- Administrative support for 60+ workforce coordination
- SimplePro system data entry and maintenance
- Client reporting and documentation processes
- Marketing and lead generation support (secondary priority, more task-based)
- Support role for future operations manager integration
- 4-7 hours per week of quoting process support (potential future delegation)
- Emergency response coordination for operational issues
- Process documentation and system improvement initiatives
Requirements
- Strong written and verbal communication skills with ability to maintain professional client relationships
- Experience with project management or operations support in service-based industries
- Proficiency with business software systems (SimplePro experience preferred but not required)
- Detail-oriented approach to documentation and quality control processes
- Ability to work independently and manage multiple priorities effectively
- Understanding of commercial cleaning or trades industry operations (preferred)
- Experience with basic marketing activities and content creation
- Strong organizational skills and ability to chase up on incomplete tasks
- Comfortable with technology and learning new software systems
- Availability during Australian business hours for real-time emergency responses
