This is a remote position.

Schedule:

  • 25 hours/week, Monday to Friday 1 PM to 6 PM but can be a bit flexible

Client Timezone: AEST (Melbourne, Australia)


Responsibilities:

  • Download and organize project documentation from various systems regarding existing infrastructure (water mains, gas mains, telecommunications)

  • Create and maintain organized folder structures in Google Drive and OneDrive for project documentation

  • Process and register daily equipment safety check forms from field operations

  • Download and compile timesheet data into spreadsheets for payroll processing

  • Support project documentation delivery to clients through shared drive management

  • Download and organize field operation forms and maintain tracking registers

  • Pre-populate quoting templates for sales inquiries

  • Process pre-quoting activities from the estimating email inbox

  • Update progress spreadsheets for client communication

  • Primary focus on back-office administrative support

  • No direct customer interaction required

  • Reporting to Operations Manager

  • Supporting construction project documentation management

  • Flexibility to potentially expand role responsibilities over time

Requirements:

  • Strong English communication skills

  • Proficiency with cloud storage systems (Google Drive, OneDrive)

  • Experience with spreadsheet management and data entry

  • Attention to detail and organizational skills

  • Ability to work independently

  • Basic understanding of business documentation processes

  • Comfortable with multiple software systems and platforms
