Role Overview
We are seeking a detail-oriented and proactive Assistant Municipal Clerk to support the operational functions of our municipal office. In this hybrid role, you will collaborate closely with the Municipal Clerk and other team members to ensure efficient administrative operations while serving our community with integrity and dedication.
Responsibilities
- Assist in the preparation and maintenance of municipal records, including minutes of meetings, ordinances, and resolutions
- Coordinate the scheduling of meetings and public hearings, ensuring proper notice and compliance with regulations
- Support the processing of municipal permits, licenses, and requests for information
- Facilitate communication between municipal departments, elected officials, and the public
- Provide administrative support in the development and implementation of municipal policies and procedures
- Maintain and organize office files, both digital and physical, ensuring accessibility and compliance with record retention policies
Required and Preferred Qualifications
Required:
- High school diploma or equivalent; relevant experience in municipal administration preferred
- Strong organizational skills with attention to detail and accuracy
- Ability to handle confidential information with discretion
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office management software
Preferred:
- Experience working in a municipal or government environment
- Knowledge of relevant local, state, and federal regulations impacting municipal operations
- Associates or Bachelor's degree in Public Administration, Business Administration, or a related field
Technical Skills and Relevant Technologies
- Familiarity with municipal software systems for records management
- Proficient in using online platforms for public engagement and document sharing
- Ability to analyze data and generate reports as needed
