Role Overview
We are looking for a proactive and detail-oriented Junior Executive Assistant to support our executive team in streamlining operations and enhancing productivity. This role is crucial in ensuring that administrative processes run smoothly and efficiently, allowing our leaders to focus on strategic initiatives.
Responsibilities
- Assist with calendar management, scheduling appointments, and coordinating meetings to optimize executive time
- Prepare and organize meeting materials, including agendas, presentations, and reports for executive review
- Manage communication on behalf of executives, including email correspondence and phone calls
- Conduct research and compile data to inform decision-making processes
- Maintain organized filing systems and ensure the confidentiality of sensitive information
- Collaborate with other team members to ensure efficient office operations
Required and Preferred Qualifications
Required:
- 1+ years of experience in an administrative support role, preferably in a corporate environment
- Strong organizational skills with the ability to multitask and prioritize effectively
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills
- Demonstrated ability to handle confidential information with discretion
Preferred:
- Experience using project management tools (e.g., Trello, Asana, or similar)
- Familiarity with remote collaboration tools (e.g., Zoom, Slack)
- Associate's degree or equivalent experience in business administration or related field
Technical Skills and Relevant Technologies
- Proficient in using cloud-based platforms and office software
- Basic understanding of data entry and database management
- Ability to leverage technology to enhance productivity and streamline processes
