POSITION OVERVIEW

Are you ready to embark on an exciting journey with a global SaaS company backed by private equity? Our PMO is seeking a meticulous Project Coordinator who thrives in a fast-paced, dynamic environment. This pivotal role focuses on building reports, budget tracking, and reporting on the status of progress across a multitude of initiatives to support large-scale technical integrations and migrations.

Your top priority will be generating clear, accurate reports on program and project performance data related to a multi-platform, international technical integration and migration, including tracking and progress reporting on hiring the international team members required to get the job done. You will collaborate closely with engineering teams, product owners, and program managers. This role is analytical and data-driven, with precise attention to detail requiring exceptional Excel and PowerPoint skills. The ability to work with tools such as Jira, Smartsheet, or Power BI (preferred but not required). As a member of the PMO, you will also rely on your project management skills to assist in scheduling, taking meeting notes, and other project coordination duties as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Reporting & Analysis:

  • Create, update, and maintain Excel-based reports and dashboards to track key KPIs for integration and hiring.
  • Prepare concise PowerPoint and Word-based reports.
  • Deliver weekly progress reports and program status snapshots.
  • Use data to identify trends, risks, blockers, and opportunities.

Data Management & Visualization:

  • Extract and transform data from various tools to support reporting needs.
  • Apply data cleansing and validation procedures.
  • Build visuals, charts, and dashboards that convey complex data in a digestible format.

Automation & Optimization:

  • Seek opportunities to streamline and automate recurring reporting tasks.
  • Implement tools or processes that reduce manual effort and increase accuracy.

Light Program Coordination (as needed):

  • Support program managers with coordination tasks such as meeting notes, scheduling, or gathering updates
  • Assist with vendor tracking and document organization.

Stakeholder Collaboration:

  • Build strong cross-functional relationships.
  • Understand the needs of executives, engineering leaders, and HR partners.
  • Maintain a bias for action and support team transparency.

COMPETENCIES

  • Advanced Excel skills; PowerPoint expertise for executive presentations
  • Strong analytical and critical thinking ability
  • Precise attention to detail with strong acumen for financial data
  • Excellent written and verbal communication
  • Self-motivated with strong organizational skills
  • Ability to work independently in a remote, global environment
  • Experience with reporting tools and the ability to quickly learn new ones (such as Power BI, Jira, SQL, Smartsheet)

QUALIFICATIONS

  • Bachelor's degree or higher
  • 3+ years of experience in reporting, data analysis, or program support in a technical environment
  • Experience as a project manager or project coordinator a plus
  • PMP, CAPM, or similar certifications are welcome but not required

Travel: 25% (includes international and domestic travel)

WORK SCHEDULE

Monday to Friday, with a shift duration of 8.5 hours per day (including unpaid breaks), operating between 7:00 am and 7:00 pm. Flexibility to accommodate various shifts is required.
