Overview

The Supervisor – Arbitration provides the department leadership, oversight, and guidance. The supervisor assists the manager with the department's day-to-day operations and serves as a point of contact when the manager is unavailable. This person will be the “go-to” person for questions and issues. This includes but is not limited to training and mentoring the team, delegating work assignments, Level 1 brief approvals, monitoring deadlines, arbitration emails, payment of arbitrator invoices, case initiation, as well as resolving personnel issues and disciplinary actions in conjunction with the Arbitration Senior Manager and Human Resources. All new hires must submit to and pass a pre-employment drug screen and background check.

Job Highlights

ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not limited to):

  • Assists in monitoring arbitration deadlines to ensure compliance.
  • Assists in delegating work assignments.
  • Monitors arbitration emails and payment of arbitrator invoices to prevent a backlog and forfeit of cases.
  • Reviews the quality and production of team members and escalates corrective action concerns to the senior manager
  • Reviews briefs assigned to Level One for approval and handles them accordingly.
  • Provides research and answers to questions and concerns of team members.
  • Facilitates training and access of new employees, working with the senior manager for direction.
  • Accountable for timely completion of exception/error reports.
  • Summarizes and communicates issues by payor-state and/or arbitration law to leadership.
  • Resolves escalations and concerns from leaders, arbitrators, payors, and team members.
  • Attends meetings with offshore vendors to discuss open issues or concerns as required.
  • Works cross-functionally with other supervisors and team leads within the team and USAP
  • Mentors employees, conducts performance evaluation, counsels, and provides disciplinary action to assigned personnel, and work to facilitate individual and team development that drive positive results.
  • Models a collegial environment that fosters teamwork.
  • Assists with special projects and performs other duties as assigned.

REPORTING TO THIS POSITION: 3-4 FTE’s

Qualifications

JOB REQUIREMENTS (Knowledge, Skills, and Abilities):

  • Knowledge of all phases/steps of the arbitration process.
  • Knowledge of organization policies, procedures, and systems.
  • Knowledge of applicable state and federal requirements for arbitration.
  • Knowledge of IDX.
  • At least intermediate level in Word, Excel, and Outlook.
  • Excellent written and verbal communication skills.
  • Good problem-solving skills.
  • Must display a positive “teamwork” attitude with strong interpersonal skill.
  • Demonstrate ability to work cooperatively with employees, peers, senior leadership, physicians, and external customers.
  • Must be able to work a flexible schedule, including occasional weekends.
  • Able to organize and prioritize.
  • Strong attention to detail.

EDUCATION/TRAINING/EXPERIENCE:

  • A High School diploma is required. An associate degree in business administration or a health-related field is preferred.
  • Must have 3-5 years of related experience with at least one year of anesthesia billing/posting/coding, etc.
  • One year of supervisor/team lead experience preferred but not required.

PHYSICAL REQUIREMENTS:

  • Requires prolonged sitting, some bending, stooping, and stretching.
  • Must possess sufficient eye-hand coordination/manual dexterity to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Required normal range of hearing and eyesight to record, prepare, and communicate appropriate reports and evaluations.
  • Requires lifting papers and boxes weighing up to 35 pounds occasionally.
  • Requires dexterity to type at least 35 wpm.

WORKING CONDITIONS (environment and safety):

  • Work performed in an office environment.
  • Involves frequent contact with professional staff, managed care organizations, various Department of Insurance, and arbitrators.
  • Work may be stressful at times.
  • Interaction with others is frequent and often disruptive.
