Upstream Rehabilitation, is looking for an Executive Assistant to join our team
Position Summary:
This position provides a wide range of administrative and executive support duties requiring initiative, independence, and confidentiality. The Executive Assistant must have strong organizational skills, be a self-starter, and work independently with minimal supervision. The Executive Assistant coordinates component administrative tasks and provides administrative and clerical support to the Senior Vice President (SVP)/C-Suite leader; initiates and recommends changes in procedures as required; provides technical assistance to others; manages projects as assigned. This position is responsible for supporting the mission, vision and values of Upstream Rehabilitation. This position does not have any supervisory duties.
Responsibilities:
- Develops and maintains calendars, spreadsheets and databases; prepares PowerPoint presentations as requested.
- Processes expense reports in a timely manner – ensuring all reimbursable expenses are appropriately submitted.
- Executes travel plans, as requested to include flights, hotels, rental cars, conference registrations, etc.
- Coordinates activities for a variety of meetings, conferences, committees, and special events.
- Coordinates administrative tasks within assigned component; initiates change in procedures as needed.
- Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner.
- Generates reports to Executive as assigned.
- Maintains the highest levels of confidentiality for all company-related information including development, financial and employment matters.
- Composes reports, correspondence, memos, agendas, and other documents.
- Other duties as assigned.
Qualifications:
- Bachelor’s degree or equivalent years of work experience required.
- Minimum of 5 years of experience in an administrative role.
- Valid driver’s license required.
- Strong business sense, ability to decipher priorities and make sound judgement calls when needed.
- Ability to interact well with members and representatives of the organization.
- Excellent verbal and written communication skills.
- Strong interpersonal skills.
- Requires expertise in Microsoft Office applications; specifically, in PowerPoint.
- Ability to travel minimally, as needed
