About the Role:
The Recruiting team at Stack AV is responsible for building the workforce that powers autonomous trucking. From the engineers developing cutting-edge autonomy systems to the professional drivers operating our development fleet and the mission control specialists ensuring every mile is driven safely and efficiently.
The Recruiting Coordinator plays a critical role in enabling the team to hire quickly, accurately, and with an exceptional candidate experience. This person will be the operational backbone of recruiting, owning scheduling, systems, documentation, and process execution with precision. They must bring deep expertise in Greenhouse (no exceptions), a passion for organization and data integrity, and the ability to help uplevel how the entire Recruiting team uses our tools, executes our workflows, and delivers a consistent, high-quality experience for every candidate.
This is a highly collaborative role that works closely with recruiters, hiring managers, and cross-functional partners across Stack AV. The ideal candidate is detail-obsessed, proactive, and committed to continuously improving how we work.
Responsibilities:
- Manage all coordination for candidate interviews, assessments, and onsite logistics, ensuring a smooth, timely, and highly professional experience at every step.
- Serve as the Greenhouse subject matter expert for the TA team maintaining data accuracy, troubleshooting issues, optimizing workflows, and helping others learn best practices.
- Own data hygiene within Greenhouse, conducting regular audits, correcting inconsistencies, and ensuring our hiring data is accurate, complete, and analytics-ready.
- Update and maintain recruiting documentation, SOPs, templates, and playbooks as processes evolve and proactively identify where documentation should be added or improved.
- Partner with recruiters and hiring managers to execute consistent and compliant processes that reflect Stack AV’s values and hiring standards.
- Track candidates through the pipeline with precision, flag bottlenecks, and ensure the team is aware of deadlines, scheduling needs, and required next steps.
- Provide exceptional customer service to candidates, ensuring they are informed, supported, and respected throughout their journey.
- Support small projects across Recruiting and PeopleOps — such as interview training, documentation rollouts, onboarding process updates, or process improvements that strengthen the overall function.
- Identify opportunities to streamline workflows and recommend improvements that increase speed, accuracy, and overall team effectiveness.
Qualifications:
- Demonstrated experience as a Recruiting Coordinator or similar PeopleOps role with strong executional ownership and independence.
- Expert-level proficiency with Greenhouse; able to configure, troubleshoot, audit, and teach it to others confidently.
- Exceptional attention to detail with a track record of maintaining highly accurate data and error-free workflows.
- A process-minded approach with enthusiasm for documentation, SOP creation, and maintaining clear, structured systems.
- Ability to manage scheduling for multiple roles and stakeholders with accuracy, speed, and professionalism.
- Strong communication and organizational skills, with the ability to partner across teams and provide excellent customer service.
- Experience navigating sensitive information with discretion and sound judgment.
- Comfortable operating in a fast-paced, high-growth environment with shifting priorities.
- Proven ability to independently run small projects, create training materials, and contribute to cross-functional improvements.
- A proactive mindset with a commitment to making processes better, tighter, and more scalable over time.
