The Manager, Project Administration is a leader in the Engineering & Construction Department and a foundational role within the project team.

This position will be responsible for managing the administration of solar construction projects in addition to supporting the project with planning, executing, and monitoring project activities.

The successful candidate will have a passion for renewable energy and approach their work in a detail-oriented, organized, and professional manner.

Requirements

MANAGEMENT RESPONSIBILITIES

Personnel Manager of Project Assistants, in addition to managing assigned projects

Perform Quality Assurance on all project to ensure projects are consistently following company processes and procedures

Training of company personnel on processes and procedures

Assist in the development and implementation of company Standard Operating Procedures

Serve as the SolAmerica main point of contact for all project compliance reporting and processes.

PRIMARY DUTIES & RESPONSIBILITIES

Project Management

Manage the Project Management Software platform (Procore, Site Tracker, etc), including access, communications list, document management, etc.

Participate in developing and maintaining project schedule with all applicable stakeholders

Prepare monthly project reports.

Tracking vendor and subcontractor documentation (manuals, warranties, reports, etc.)

Support the Project team in documenting meeting minutes and tracking action items

Prepare and track project closeout requirements.

Coordinate with Asset Management for handover requirements.

Prepare monthly internal department and executive project reporting.

Accounts Payable

Prepare Purchase Orders and/or Subcontracts for vendors

Review vendor and subcontractor invoices for

Verify accounting cost codes.

Verify all required documentation and lien waivers are provided and match the contract values

Verify conditional and unconditional lien releases are provided before payments are released

Verify the invoice matches the PO or Pay Application

Verify that the equipment or service was provided (inspection report and communicate with vendors/contractors on non-compliance

Send to Project Manager for Approval

Track and communicate project AP with vendors and contractors

Finance

Assist with preparation, submittal, and tracking of the finance submittals including:

Construction loan and tax equity closing requirements.

Construction loan monthly draw requirements.

Project status reports

Contract Management

Prepare contract notification requirements list. Send and track notifications.

Identify and track contractor monthly or routine submittals (project reports, schedules, etc.)

Prepare and track contract milestone and closeout submittal list.

Manage and close Builders Risk Insurance (BRI), as required

Manage all necessary bonds (P&P, driveway, etc.), as required.

Track and land lease requirements.

Track Interconnection Agreement (IA) contract requirements

Track Owner and Contractor insurance expiration dates

Track permit requirements (Conditional Use Permit, Building Permits, eyc)

Track ESA Phase 1 expiration date

Compliance

Manage and track the Project Compliance matrix and deliverables for Prevailing Wage

Apprenticeship

Domestic Content

Other program compliance requirements.

Ensure that wage determinations are submitted

Document Control & Management

Manage and organize project documents including version control

Manage access and permissions to the Project Management platform

EDUCATION & KNOWLEDGE

The successful candidate will have the following qualifications:

Bachelor's Degree

Ability to read and comprehend plans, drawings, specifications, bid materials, contracts and related construction documents. Additional training in these skills will be provided.

Ability to be self-motivated and work in a team environment where the focus is on the goals and objectives that determine the success of the projects.

Excellent written and verbal communication skills with strong attention to detail

Ability to exercise judgment to appropriately balance risks with business objectives

Intellectual curiosity and a desire to constantly learn and improve

Self-starter with a strong work ethic and ability to manage multiple competing priorities

Ability to work both independently and as part of a close-knit team

KEY SKILLS & COMPETENCIES

5-7 years’ experience in Solar Construction/Project Administration (or similar)

Experience managing and mentoring a team

Procore and Smartsheet experience

Detail oriented, organized, with effective communication skills

Self-motivated with an ability to balance multiple projects under tight deadlines.

Ability to manage multiple projects under various deadlines.

Ability to work both independently and as part of a close-knit team

Knowledge of solar projects work scope, testing, troubleshooting, and commissioning
