We seek a highly organized and experienced Executive Virtual Assistant(EVA) to support a visionary CEO in managing multiple organizations. As the Executive Virtual Assistant, you will be crucial in optimizing the CEO's time, coordinating projects, and providing efficient administrative support.
Responsibilities:
- Act as the primary point of contact for company executives and external/internal clients seeking communication with the CEO.
- Manage project initiatives for the CEO.
- Coordinate and maintain appointment schedules and calendars for each company.
- Plan and schedule meetings, conferences, and travel for the CEO and team members.
- Handle logistics for events, including collateral management.
- Take meeting minutes and maintain accurate records on various platforms.
- Maximize the CEO's time by handling correspondence, drafting documents, and initiating calls on their behalf.
- Facilitate internal communication and assist in change management.
- Produce reports, presentations, and briefs for each company.
- Identify and suggest more efficient office processes.
- Review and recommend changes to policies and procedures.
- Conduct needs analysis, SWOT analysis, root cause analysis, SMART goals, and action planning.
- Perform other executive admin responsibilities as needed.
Requirements
Qualifications:
- Willingness to do voice tasks
- Minimum of 1-2 years of experience in administration and executive assistance.
- Experience working closely with C-Suite executives.
- Solid project management skills.
- Ability to function as an individual contributor and work well with teams.
- Strong multitasking and prioritization skills.
- Critical thinking and the ability to think on your feet.
- Excellent time management skills.
- Highly organized, patient, and able to maintain confidentiality.
- Proficient in online tools such as Google Suite applications.
- Quick learner with superb interpersonal skills.
- Excellent verbal and written communication skills with close to zero regional accent.
- Ability to work independently and under pressure of deadlines.

- Comfortable working during U.S. operating hours (Night Shift).
