The Program Manager will support PTC’s New Product Introduction (NPI) processes by managing day‑to‑day coordination, maintaining high‑quality status data, and serving as the primary Smartsheet expert for NPI. This is a hands‑on operational role focused on keeping deliverables, tools, and communication aligned across multiple functional teams.
While the initial focus will be on NPI, this same framework—including the Smartsheet toolkit, coordination routines, and status hygiene—will extend to support PTC’s Product Retirement process as it matures.
This role is ideal for a highly organized, detail‑driven individual comfortable with structured tools, project management, cross‑functional follow‑up, and coordinating alignment across distributed stakeholder groups.
Key Responsibilities
Smartsheet Ownership
- Build and maintain NPI Smartsheet templates, dashboards, reports, automations, and permissions.
- Transition existing NPI Toolkit into Smartsheet Control Center.
- Provide first‑line support and troubleshooting for NPI Leads and functional owners.
- Ensure consistent structure and quality across all NPI Smartsheet assets.
- Develop small help guides and host ad‑hoc office hours/training moments.
- Extend these tools and structures to support Product Retirement workflows as they are formalized.
NPI Lead Enablement
- Facilitate monthly NPI Lead alignment meetings (agenda, notes, follow‑up).
- Conduct 1:1 touchpoints to gather blockers, align usage of templates, and support Smartsheet adoption.
- Maintain the NPI Lead & Retirement Toolkit and update documentation as processes evolve.
Functional Alignment Coordination
- Coordinate and track semi‑regular alignment sessions with PTC functional leads.
- Ensure agendas, data inputs, and follow‑ups are prepared and circulated.
- Support your manager by monitoring cross‑functional topics, open issues, and action item progress.
- Participate in alignment sessions as needed and ensure outcomes are reflected in Smartsheet and supporting materials.
- Apply the same coordination framework to Product Retirement alignment cycles once launched.
Status Hygiene
- Ensure NPI status updates are complete, accurate, and consistently maintained.
- Identify missing or incorrect data and follow up with owners.
- Prepare recurring “change summaries” to support your manager and NPI Leads
- Extend status hygiene practices to Product Retirement items when the process becomes active.
Cadence & Meeting Logistics
- Schedule recurring NPI checkpoints and maintain NPI calendars.
- Prepare agendas, record notes, track actions, and ensure follow‑through.
- Keep SharePoint and Smartsheet assets aligned with the meeting cadence.
- Mirror these logistics for Product Retirement checkpoints once the cadence is defined.
Content & Documentation Maintenance
- Keep NPI SharePoint pages, templates, and quick‑reference materials updated.
- Capture frequently asked questions and turn them into reusable documentation.
- Help maintain parallel materials for Product Retirement as the framework rolls out.
Qualifications
Required
- 3-5 years of experience in project coordination, operations support, PMO support, or similar.
- Demonstrated Smartsheet competency (dashboards, formulas, cross-sheet linking, automation).
- Strong attention to detail and ability to manage multiple small tasks consistently.
- Clear, concise communication and reliable follow‑through.
- Comfort working with cross‑functional teams and tracking many deliverables at once.
- Stakeholder management skills, including driving alignment and consistent follow‑up.
- Analytical thinking and structured problem‑solving abilities.
- Familiarity with SharePoint or similar content management tools.
- Basic Excel/PowerPoint skills for summaries and exports.
Preferred / Nice-to-Have
- Experience with software product or release processes (not required).
- Experience writing light documentation or “how‑to” guides.
Success Measures
- Consistent and accurate Smartsheet data across all releases.
- Improved responsiveness and support for NPI Leads.
- High‑quality meeting logistics and follow‑ups.
- Reduction in missing or stale NPI statuses.
- Positive feedback from NPI Leads and delivering functions.
- Smooth expansion of the operational framework to Product Retirement, including tool readiness and process alignment.
