Job Summary
The Associate, Talent Operations is a foundational role responsible for executing the daily operations of the talent acquisition engine. This role ensures a high-quality experience for
candidates and internal stakeholders by maintaining data integrity, providing system support, and managing the end-to-end logistics of the hiring process

Duties and Responsibilities
- Recruiter Support: Collaborate daily with recruiters to provide high-quality, end-to-end support and ensure all job and candidate data is accurate and compliant within the ATS.
- Scheduling & Coordination: Manage high-volume interview scheduling across various global time zones, ensuring all participants have the necessary information and links.
- Candidate Experience: Act as the primary point of contact for candidates during the interview process, providing a warm, professional, and Talkdesk-first experience.
- Data & System Maintenance: Maintain the ATS (Greenhouse), Jira support queue, and GoodTime scheduling queue with high accuracy, providing Tier 1 issue resolution for end-users.
- Administrative Execution: Manage the end-to-end job and offer approval workflow, including facilitating offer letters and post-hire tasks.
- Knowledge Support: Assist with keeping internal documentation and playbooks up-to-date within NotebookLM to ensure team-wide consistency.
- Playbook Adherence: Follow established Talent Operations playbooks to ensure consistency and compliance across the global recruiting team.
- AI Productivity: Responsibly leverage AI tools and automation to streamline administrative tasks and improve personal productivity.
- Education & Experience: Bachelor’s degree or equivalent work experience. 0–2 years of experience in Talent Acquisition, HR, or a high-volume administrative role.
- Technical Proficiency: Experience with or a strong aptitude for learning a complex talent tech stack, specifically Greenhouse, GoodTime, Replit, Jira, BrightHire, and HackerRank.
- Operational Execution: Exceptional organizational skills with the ability to manage high-volume scheduling across global time zones while maintaining extreme attention to detail in data entry and offer processing.
- Communication: Ability to provide a warm, professional Talkdesk-first candidate experience and clear internal support via Jira, Slack, and email.
- Adaptability: A "builder" mindset with an interest in leveraging AI tools to automate personal workflows and improve productivity.
- Relationship Building: Proven ability to develop trusting relationships in a high-performing environment.
- Additional relevant knowledge or experience related to the above requirements will be considered an advantage.
