Summary
We are looking for a talented Executive Assistant to join our team and help shape the future of Midnight’s products and technology. Midnight is a regulatory-friendly data protection-based blockchain that safeguards sensitive commercial and personal data, protecting fundamental freedoms of association, commerce, and expression for developers, companies, and individuals.
As Executive Assistant to Midnight’s Leadership Team, you are responsible for effectively planning, prioritizing, communicating and executing administrative tasks in a timely manner. You will be highly organized, disciplined and motivated to keep pace with the team’s activities. Discretion and confidentiality are important qualities within this role.
Duties
Executive Support:- Organize, manage and maintain calendars of the Leadership team as requested; attending regular meetings to discuss priorities.
- Manage all business travel arrangements and accommodation requirements for the Leadership Team and for the wider business when required..
- Manage expenses for the Leadership Team utilizing the Company online system, Concur.
- Build strong relationships with other colleagues and staff across the business, sharing practices and efficient ways of working, as well as providing sufficient support where needed.
- Keeping documents and communication between the Leadership team organized, confidential, and available when needed utilizing Google Drive, Slack, Jira, Confluence, etc.
Meeting Management:
- Arrange all meetings including but not limited to; weekly meetings, PI Planning meetings, offsite meetings as well as meetings with external parties, regular 1:1’s and appraisal meetings, and any other meetings as appropriate.
- Build strong relationships with various internal and external stakeholders across the business, to achieve the above.
- Any other tasks or activities as and when required.
Project work:
- Provide support to the Leadership Team with company wide projects in line with the Company strategy.
- Produce project plans in conjunction with the Head of Operations, as and when required.
- Maintain project plans and assist the Head of Operations in tracking ongoing achievement of plans, recording key milestones.
- Liaise with task owners on an ongoing basis to obtain status reports.
Compliance:
- Comply with compliance procedures, any applicable regulations at all times to ensure regulatory requirements and company policies are not breached

Education and Experience
- Extensive experience in a remote Executive Support role for an Executive.
- Project management background.
- Discretion, tact and confidentiality.
- Experience of working within a fast-paced client facing environment.
- Extensive experience of working with Google Slides, Docs, Sheets, Mail, Calendar.
- Experience of delivering accurate, relevant and timely information.
- Experience of working in a remote environment of significant and fast change.
- Excellent interpersonal and communication skills (written and verbal).
- Excellent diary management, multi-tasking, planning and organizational skills.
- Ability to communicate clearly and accurately with varying levels of colleagues and contacts.
- Professional etiquette and communication, both oral and written.
- High level of data entry and use of technology.
- Ability to anticipate requests, solve issues as they arise, and reprioritize tasks.
- Ability to make clear and timely decisions in complex situations.
- Flexibility to adapt to the changing needs of the business.
