The Jr. Operations Coordinator plays a crucial role in supporting the day-to-day operations of the Indigo team. Reporting to the Mentor Operations Lead, this position provides comprehensive administrative support and assists with mentor management, operational workflows, and mentor–student allocations.

The ideal candidate is detail-oriented, proactive, and comfortable working in a dynamic, cross-cultural environment.

Key Responsibilities:

General Administrative Support (20%)

  • Provide comprehensive administrative support to the Indigo team, including correspondence with mentors and students interested in Indigo programs.

  • Ensure students stay on track by following up with students, mentors, and internal team members.

  • Implement and maintain Standard Operating Procedures (SOPs) to ensure consistency and operational efficiency.

  • Maintain and update student and mentor records and databases.

Mentor Management Support (10%)

  • Assist with the mentor management, including communications.
    Support the onboarding of new mentors, ensuring all required documentation is completed and mentors are fully equipped to support students.

  • Maintain mentor records, track performance, and collect feedback.

Operational Support (20%)

  • Assist in analyzing operational workflows and recommend process improvements to enhance efficiency.

  • Support the implementation of new service processes across the department.

  • Help track student progress and outcomes, ensuring data accuracy and timely reporting.

Mentor Allocations (50%)

  • Coordinate the allocation of students to mentors, considering fit, availability, and location.

  • Provide timely guidance, updates, and support to mentors and internal teams when resolving allocation-related issues.

  • Efficient and effective administrative support for the Operations team.

  • Clear, smooth, and well-organized communication processes.

  • Accurate, up-to-date records and databases.

  • Proactive identification and resolution of administrative and operational issues.

Required Skills & Qualifications

  • 0–2 years of experience in operations, administration, or coordination.Specific exposure to operations and recruitment is a strong plus (freshers welcome to apply).

  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities.

  • Clear, professional written and verbal communication skills.

  • Process-oriented mindset with the ability to identify and implement improvements.

  • Comfort working in a fast-paced, cross-cultural, and distributed team environment.

  • Proficiency with productivity and collaboration tools (e.g., Google Workspace, spreadsheets)

  • High level of professionalism, discretion, and reliability.

  • Experience with Microsoft Excel, SQL knowledge is a plus.

  • Excellent planning and organizational skills.

What Does Success Look Like:

  • Prompt allocations (within two days or less).

  • Absence of mentor shortages and unnecessary allocation delays.

  • High mentor retention rates and a supportive mentor community.

  • Professional and positive interactions with mentors and Indigo staff.

  • In-depth product knowledge among team members, facilitating successful job performance.

  • Proactive issue resolution to maintain service excellence.
