The team needs a builder who can own process design, documentation, and orchestration across Zapier and key tools, while supporting go-to-market execution with a strong sales-aware mindset. By reducing operational friction and improving data quality, you’ll free leadership to focus on growth and accelerate GTM programs.
The Impact you’ll make
- Build, maintain, and optimize multi-step Zaps across Slack, Google Drive/Docs/Sheets, Notion, HubSpot, and Paperform.
- Implement webhooks, paths/filters, error handling, logging, and alerting for reliability and scale.
- Maintain documentation and version control for all automations and integrations.
Process ownership and SOPs
- Map business processes, design repeatable SOPs, and enforce operational standards.
- Triage incoming requests, prioritize independently, and manage an automation/ops backlog.
- Continuously improve processes based on data, feedback, and observed bottlenecks.
Go-to-market operations support
- Scrape, clean, and enrich lead lists; manage deduplication and data hygiene.
- Update and maintain CRM records (HubSpot) and prep assets for campaigns.
- Provide tactical sales support, from list segmentation to sequence readiness.
Data operations and reporting
- Perform structured data entry, normalization, and QA across Sheets/Excel.
- Build and maintain GTM and ops dashboards; automate imports/exports where possible.
- Run basic analysis to inform outreach strategy and process improvements.
AI tooling orchestration
- Coordinate cross-tool workflows between AI models/APIs (OpenAI, Anthropic) and Zapier.
- Draft, test, and refine prompts; ensure outputs meet accuracy and privacy standards.
- Pilot new AI-enabled automations that boost team productivity and quality.
Skills, Knowledge and Expertise
- Proven Zapier automation track record (multi-step Zaps, webhooks, filters/paths, error handling), with examples or portfolio.
- Integrations across Slack, Google Workspace, Notion, HubSpot, and form tools (e.g., Paperform).
- Sales operations/CRM experience (HubSpot preferred): lead scraping/enrichment, deduping, list hygiene, campaign setup.
- Advanced Google Sheets/Excel (LOOKUP/XLOOKUP, QUERY, ARRAYFORMULA, pivots, regex/text functions).
- Excellent written and verbal English; strong SOP documentation; comfortable orchestrating AI tools (OpenAI/Anthropic).
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
- Zapier power user; comfortable with APIs, webhooks, and workflow orchestration.
- Data-savvy in Google Sheets/Excel; meticulous about data hygiene and QA.
- Process-minded: you map, document, and improve SOPs without prompting.
- Sales-aware: you understand GTM rhythms, CRM structure, and campaign needs.
- Clear, proactive communicator who anticipates needs and manages stakeholders.
- Bias to action; ownership mentality; thrives with autonomy and fast iteration.
