Why does this role exist?This role exists tohelp leadership from time‑intensive research and operational tasks while ensuring compliance in a regulated government contracting environment. The executive assistant will independently drive GovCon research, produce professional documents, and establish light‑weight internal systems so work is accurate, timely, and low‑touch. The goal is to quickly onboard and begin removing research/admin workload with minimal supervision, reducing errors and oversight needs.
The Impact you’ll make
- Monitor, research, and compile reports on relevant programs and opportunities; distill eligibility, set‑asides, NAICS, deadlines, and key requirements
- Summarize solicitations and policy updates into clear briefs and comparison matrices
- Build and maintain a simple pipeline/tracker of opportunities, milestones, and action items
- Draft, format, and QC professional documents, templates, and checklists aligned to GovCon expectations
- Organize and maintain compliance records and version control for audit‑readiness
- Support company profiles/registrations and keep data organized for quick reuse (e.g., capabilities summaries, past performance logs)
- Manage inbox triage, draft polished emails and memos, and prepare meeting briefs and agendas
- Own calendar management and scheduling across Eastern Time; coordinate interviews and stakeholder calls
- Capture meeting notes and track follow‑ups to closure
- Set up and maintain simple internal systems (trackers, folders, SOPs, templates) for research and compliance workflows
- Enforce consistent naming, filing, and formatting standards across shared drives
- Coordinate with internal team members to ensure smooth handoffs and timely deliverables
- Liaise with partners or members as directed; ensure timely follow‑ups, scheduling, and document delivery
- Provide operational support for occasional internal initiatives under tight timelines
Skills, Knowledge and Expertise
- 2+ years direct experience in U.S. Government Contracting (GovCon), ideally supporting DoD or federal civilian work
- Demonstrated compliance literacy (e.g., reading solicitations, understanding set‑asides, basic FAR/DFARS concepts) with exceptional attention to detail
- Proven research and analysis capability; ability to produce client‑ready reports and professional correspondence
- Executive assistant or operations support experience with minimal supervision, including building simple trackers and workflows
- Excellent written and spoken English; available Monday–Friday, 9:00 am–5:00 pm Eastern
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
- Technical: GovCon/compliance literacy; strong desk research; advanced document formatting and QC; spreadsheet/report building; calendar/email management; familiarity with common GovCon portals and resources (e.g., SAM.gov, Grants.gov, FPDS) is a plus; proficiency with Google Workspace or MS Office
- Operational: Process‑oriented, organized, rigorous version control and filing; able to stand up lightweight systems and SOPs quickly
- Interpersonal: Crisp written communication, professional tone, proactive follow‑through, and reliable stakeholder coordination
- Personal: Autonomous, low‑ego, high ownership, meticulous, and calm under deadlines in a regulated environment
