Job Description
This is an exciting opportunity for a proactive Executive Assistant to directly support a key director who leads both business operations and sales initiatives. You’ll be the organizational backbone of senior leadership, ensuring smooth operations through sophisticated calendar management, strategic email handling, and high-impact presentation development. This role offers significant potential for growth, with the possibility of expanding to full-time for the right candidate. Responsibilities
- Drive proactive email management by independently responding to correspondence and ensuring critical messages receive immediate attention
- Orchestrate complex calendar management, thinking several steps ahead to coordinate travel, accommodation, and logistics
- Transform executive’s brainstorming sessions and whiteboard concepts into polished, professional presentations
- Lead daily morning check-ins to align priorities and ensure optimal time management
- Implement and maintain structured systems for task management and email organization
- Coordinate domestic travel arrangements including flights, hotels, and ground transportation
- Protect executive’s time by ensuring calendar commitments align with strategic priorities
- Create and maintain efficient document management systems
- Independently handle routine correspondence and decisions on behalf of the executive
Requirements
- Exceptional proactive mindset with demonstrated ability to anticipate needs before they arise
- Strong organizational skills with a structured, systematic approach to task management
- Outstanding written and verbal communication skills in English
- Advanced proficiency in Microsoft Office Suite, particularly Outlook and PowerPoint
- Proven ability to work independently and make sound decisions without direct supervision
- Experience in calendar management and travel coordination
- Strong attention to detail and commitment to accuracy
- Professional demeanor and excellent interpersonal skills
- Ability to maintain confidentiality and exercise discretion
- Availability during UK morning hours (preferred 8am-12pm UK time)
- Reliable high-speed internet connection and quiet home office setup
