Job Description

This is an exciting opportunity for a proactive Executive Assistant to directly support a key director who leads both business operations and sales initiatives. You’ll be the organizational backbone of senior leadership, ensuring smooth operations through sophisticated calendar management, strategic email handling, and high-impact presentation development. This role offers significant potential for growth, with the possibility of expanding to full-time for the right candidate. You’ll work in a collaborative environment where your initiative and ideas are valued, and your ability to create order from complexity will directly impact the company’s continued success.
Responsibilities
  • Drive proactive email management by independently responding to correspondence and ensuring critical messages receive immediate attention
  • Orchestrate complex calendar management, thinking several steps ahead to coordinate travel, accommodation, and logistics
  • Transform executive’s brainstorming sessions and whiteboard concepts into polished, professional presentations
  • Lead daily morning check-ins to align priorities and ensure optimal time management
  • Implement and maintain structured systems for task management and email organization
  • Coordinate domestic travel arrangements including flights, hotels, and ground transportation
  • Protect executive’s time by ensuring calendar commitments align with strategic priorities
  • Create and maintain efficient document management systems
  • Independently handle routine correspondence and decisions on behalf of the executive

Requirements

  • Exceptional proactive mindset with demonstrated ability to anticipate needs before they arise
  • Strong organizational skills with a structured, systematic approach to task management
  • Outstanding written and verbal communication skills in English
  • Advanced proficiency in Microsoft Office Suite, particularly Outlook and PowerPoint
  • Proven ability to work independently and make sound decisions without direct supervision
  • Experience in calendar management and travel coordination
  • Strong attention to detail and commitment to accuracy
  • Professional demeanor and excellent interpersonal skills
  • Ability to maintain confidentiality and exercise discretion
  • Availability during UK morning hours (preferred 8am-12pm UK time)
  • Reliable high-speed internet connection and quiet home office setup
